We have o ces in Northern California, US and Kigali, Rwanda.

JOB SUMMARY

YLabs is seeking a Bookkeeper to join our Operations and Finance team and independently complete all bookkeeping activities for our Rwanda and USA o ces, consolidated on our USA books.

A successful candidate has extensive experience with transactional bookkeeping and adherence to
GAAP standards, a strong understanding of non-profit accounting, and is an excellent and proactive communicator. The person in this role will be primarily an independent executor but expected to engage with a variety of internal and external stakeholders; a strong attention to detail, demonstrated ability to meet recurring and ad-hoc deadlines, and adaptability and creativity for complex problem solving, are all key requirements of the role.

The role will be supervised by our Senior Finance Manager, work closely with our Senior Finance
Specialist, and be supported by our wider Operations & Finance and Programs teams.

JOB TYPE

This is a part-time position, where the individual is expected to work a set schedule for a total of
20-24 hours per week. In order to optimize communication and collaboration across time zones, working hours must be between Monday through Thursday, with a start time of 7a PT at least twice per week.

This role requires the ability to legally work in the US. While a majority of our US sta live in the Bay
Area, there is no requirement for this role to be based out of California. If you choose to work remotely, it will be necessary to travel to the Northern California o ce at times for in-person

meetings, our annual retreat, and/or other miscellaneous events. This travel is fully reimbursed by
YLabs.

ABOUT YLABS’ COMPENSATION

YLabs adheres to Project Fair’s principles and standards to establish equity in pay with the overriding principle of “equal pay for work of equal value” outlined in the Sustainable Development
Goals. All salary ranges are based on level within the organization and are competitive to regional and national salary benchmarks, based on the respective o ce location.

PAY RATE

The pay range for this position is $32 - $38 USD per hour, commensurate with experience.

YOU WILL:

Global Bookkeeping
- Lead and execute all transactional accounting activities related to YLabs’ monthly close for two o ces (Rwanda and USA), consolidated on our USA books, including:
- Complete the detailed financials worksheets and monthly account reconciliations for all accounts
- Finalize and report on trial balances for all accounts
- Conduct bank reconciliations and statement uploads for (3) Rwanda accounts and

(3) US accounts
- Conduct credit card reconciliations and employee expense reimbursements through our financial software
- Complete monthly time and e ort labor allocations

- Develop and manage an up-to-date asset register and depreciation schedule, maintained monthly

- Execute on all transactional accounting activities related to YLabs annual close, in line with our fiscal year

- Support with semi-monthly payroll processing and reconciliations for both o ces

Compliance
- Support our annual audits for both o ces, by providing timely worksheets, reports, analyses, and documentation, as requested by the Finance Team
- Support with preparing annual submissions for our Negotiated Indirect Cost Rate Agreement

(NICRA) package for our federally funded grants and ensure year-round compliance with our
NICRA rates

Accounts Payable
- Enter all vendor invoices and bills into YLabs’ AP software (Bill.com) on a weekly basis for both o ces
- Produce and share AP reports with Finance team for timely payment processing for both o ces
- Manage YLabs’ global finance inbox and provide timely responses to all inquiries

Accounts Receivable

- Invoice YLabs’ donors and clients, per each contract’s terms, in collaboration with our project managers, from our Programs Team

- Complete monthly AR schedule and revenue recognition for financial reporting

YOU ARE:

- Highly detail oriented
- An excellent oral and written communicator with strong interpersonal skills
- Able to independently execute on and meet recurring and ad-hoc financial deadlines throughout the organization’s financial life cycle
- An e cient prioritizer who can manage multiple tasks and priorities across both o ces
- Excited by the opportunity to work in a highly collaborative, multi-disciplinary, diverse global team
- Able to successfully engage with di erent financial softwares and tools to improve reporting timelines and data e ciencies
- Flexible, adaptable, and level-headed in light of changing circumstances and scenarios

YOU HAVE:

- BA/BS or higher degree in nonprofit financial management, accounting, business, or a related field, and/or

- Five or more years of bookkeeping experience, with at least 50% of this experience occurring in a non-profit setting

- Personal qualities of integrity, credibility, and unwavering commitment to YLabs’ mission
- Knowledge of non-profit grant management and accounting
- Demonstrated experience providing transactional bookkeeping services in USA and/or

Rwanda
- Advanced proficiency with Quickbooks accounting software, spreadsheets and data management systems, and other financial management tools including Bill.com and
Expensify or similar

- Familiarity with US federal grant compliance, NICRA, A-133 audits, and reporting
- Strong time management skills and demonstrated ability to meet recurring deadlines with integrity
- Strong technological fluency to learn and utilize tools and software to improve our financial systems

DESIRABLE:

- Familiarity with financial coordination across all of YLabs’ global o ces and areas of work and financial practices in East Africa is preferable but not mandatory; training will be provided upon onboarding.

- Demonstrated commitment to ongoing learning and professional development to enhance your knowledge and skill set in your field(s) of expertise
