Position Summary
This position will be responsible for purchases made by the organization. Evaluate and approve vendors and authorize purchase orders for goods and services. Coordinates and expedites the flow of work materials within or between departments according to production schedule.

In this role, the purchasing/buying assistant will learn each essential job function under the training of their direct manager, the Buyer/Planner. Reasonable accommodations may be made, upon request, to enable individuals with disabilities to perform the essential functions.
The
Essential Trained Responsibilities to be learned:
- Learns to independently prepare purchase orders, solicit bid proposals, and review requisitions for goods and services.
- Learns to monitor shipments to ensure that goods come in on time and resolve problems related to undelivered goods.
- Initiates collaboration with quality staff to discuss defective or unacceptable goods or services and determine corrective action.
- Maintains and reviews records of items purchased, costs, deliveries, product performance, and inventories.
- Follows all applicable instructions relative to food safety and the SQF (Safe Quality Food) Food Safety Management System, including Employee GMP’s (Good Manufacturing Practices).
- Requests and processes data-sheets on raw material specs from vendors
- Maintains current price sheets for all vendors
- Collaborates with finishing and shipping department to ensure timely deliveries of products
- Supports administrating and auditing customer and vendor paperwork and agreements with suppliers, vendors, and other representatives, as necessary.
- Collaborates with CSR team with material availability, and/or lead-time
- Supports CSR Team with backlogged work as necessary. Including but not limited to:
- Reports food safety problems to personnel with the authority to initiate actions.
- Commitment, awareness, and involvement pertaining to food safety practices (GMPs, procedures, etc.) are requirements of all employees.
Advanced proficiencies, after essential learned responsibilities include:
- Purchases the highest quality materials/merchandise at the lowest possible price and in correct amounts
- Researches and evaluates suppliers based on price, quality, selection, service, availability, reliability, and production and distribution capabilities.
- Analyzes price proposals, other data and information to determine reasonable prices
- Supports scheduling functions as required for business needs

Work Environment
Work primarily in a climate controlled indoor environment with minimal safety/health hazard potential. Hearing protection, safety shoes and vision protection required.
This role operates in a professional office environment that requires some exposure to a manufacturing environment. Employees are rarely exposed to non-toxic/nuisance smells from chemicals, airborne dust, moving mechanical parts, high noise levels and hot/humid environmental conditions in the manufacturing areas.

Requirements
Education, experience, and skills:
- Advanced computer skills in Microsoft Office is required.
- Strong verbal and written communication skills are required.
- Ability to work in fast paced environment is required.
- Bachelors degree in a business-related function, or working towards completion of a degree, or equivalent business experience in place of a degree is strongly preferred.
- Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.
Preferences:
- Knowledge of raw materials, production processes, quality control, costs, and techniques for maximizing the effective manufacture and distribution of goods is preferred but not required.
- Progressive experience in purchasing and materials management is strongly preferred, but not required.
- Strong negotiation and contract management skills is preferred.
- Familiar with a variety of the field’s concepts, practices, and procedures is preferred
- Knowledge of business and management principles involved in strategic planning, resource allocation, production methods, and coordination of people and resources is preferred.
