POSITION SUMMARY

The Clinic Administrative Manager is responsible for overseeing the daily administrative activities related to implementing patient care strategies and tactics within an assigned Clinic.

ESSENTIAL DUITIES AND RESPONSIBILITIES:

The essential functions include, but are not limited to the following:

  • Manages the day-to-day administrative operations of the Plano and Frisco locations
  • Serves as a resource and role model for staff.
  • Plans, evaluates, recommends and implements new initiatives as needed.
  • Represents, supports, and promotes a positive image of Key Whitman Eye Centers when dealing with patients inside and outside of the company.
  • Creates and sustains a highly accountable and inspired work environment where employees deliver exceptional patient care; sets the example for how operational and clinical staff work together by demonstrating shared leadership with the Administrator
  • Monitors, coaches, and evaluates performance of administrative staff on an ongoing basis in accordance with established performance standards.
  • Accountable for managing and controlling clinic cost.
  • Responsible for timely bank deposit and mail sorting/delivery.
  • Manages Patient Care and Optical to ensure fluid communication and coordination between patients and clinical staff.
  • Maintains sufficient inventory of all office and clinical supplies; ensures all office equipment is regularly maintained and that the facility is kept clean and reflects a professional and safe environment.
  • Works directly with Key Whitman Eye Center leaders and physicians to develop and deploy patient care initiatives and operational projects.
  • Hires, trains, and manages a high-performing administrative team capable of carrying out the operational tasks and responsibilities.
  • Ensures all patient and company information and data is handled and managed with the upmost confidentiality and security.
  • Responsible for fostering, promoting, and cultivating an inspired and engaged workforce through reward and recognition
  • Coaches and holds team accountable for adhering to all operational policies and procedures in accordance with all federal, state, and local regulations and laws and company policy including HIPAA and OSHA compliance.
  • Collaborates with Human Resources to ensure personnel policy development and communication to staff to achieve consistency and excellent employee relations.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • Bachelors degree preferred; Experience with electronic medical record systems (EMRs) is preferred.
  • Minimum of three years experience serving in a general management role, healthcare environment is preferred.
  • Proficient in Microsoft Office, specifically with Excel, Word, and PowerPoint.
  • Excellent oral and written communication skills.
  • Excellent problem-solving skills.
  • Ability to write reports, proposals, business correspondence, and policies and procedures.
  • Excellent organizational and interpersonal skills.
  • Ability to work effectively and present information and respond to questions from groups of colleagues, patients, and physicians.
  • Excellent customer relationship skills.
