Summary of Essential Job Functions:

  • Oversee and support all administrative duties around the clinic/office to ensure smooth operations
  • Coordinate and own clinic wide weekly and daily staff schedule
  • Manage attendance of staff and learners and make appropriate scheduling changes
  • Manage office and clinic supplies inventory and place orders as necessary
  • Establish and maintain relationship with maintenance, cleaning, and other vendors to ensure maximum cleanliness, safety, and efficiency
  • Perform receptionist duties such as answer and direct phone calls, set up tours, and greet visitors
  • HR administrative duties in Paycor such as timecard management, PTO/sick requests and general profile management
  • Provide support and assistance to direct care clinicians during their sessions, as needed
  • Establish Sunshine Committee and meet monthly with members to plan and execute clinic wide celebrations like birthdays, anniversaries, and other clinic wide team building events
  • Help leadership plan annual events such as the open house and holiday party
  • Manage all technology including Wi-Fi and tablet/laptop ordering and setup
  • Identify opportunities for process and office management improvements and work with leadership to design and implement new systems
  • Serve as a last back up Registered Behavior Technician (RBT) to cover breaks or scheduling conflicts

Requirements to Succeed:

  • Must be 18 years of age or older
  • High School Diploma or equivalent required
  • Bachelor’s degree in business administration, a related field or relevant work experience preferred
  • 3-5 years proven experience as an office manager, front desk receptionist or administrative assistant
  • Excellent written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills in a fast-paced environment
  • Working knowledge of Paycor and Google Workspace programs
  • Maintaining respect and confidentiality for all clients
