Compliance Assistant Job at ALCOVA Mortgage
The Compliance Assistant provides administrative support to the Compliance Department and participates in the coordination of special projects and initiatives. This position requires excellent verbal and written communication skills as well as proficiency in MS Word, Excel, Outlook, and PowerPoint.

- Administrative Support – Provides administrative support to the Compliance Department, including but not limited to, maintenance of the Compliance Calendar, Internal Audit Schedule, supporting team members on their projects, monitoring Help Desk requests, preparing meeting notes, and planning group activities.
- Special Projects – Participates in the coordination of special projects, including conducting research, assisting in the preparation of presentations, and scheduling/coordinating meetings and events.
- Marketing Services Agreements – Monthly, collects supporting documentation for services received.
- Surveys – Maintains database of internal department surveys.
- Complaints – Assists in the investigation of complaints.
- Internal Audit – Assists Lead Auditors with the performance of internal audits as required by the Internal Audit Calendar.
- Branch Audits – Assists Lead Auditors in the performance of Branch audits.
- Subpoenas – Assists in assembling documents requested by subpoena.
- Legal – Assists with legal research requests related to litigation and research.
- Turndown Processing – Assists with the completion of Adverse Action Processing Requests submitted by the operational personnel.
- Incomplete Files – Assists with the performance of processes required for suspended and incomplete files to ensure compliance with ECOA.
- P&P Maintenance - Develop & maintain applicable P&P for functions specific to this position.
- Other duties as assigned.
- Two-year college degree and/or administrative assistant, compliance, or fair lending background preferred. A combination of education and related work experience may be considered.
- Requires effective communication skills, both verbal and written.
- Requires strong organizational skills, attention to detail, and proficiency using Microsoft Office, specifically, Outlook, Word, Excel, and PowerPoint.
- Strong aptitude and desire to provide excellent customer service.
- Ability to simultaneously manage and accomplish multiple tasks/projects and deadlines.
- Must be trustworthy, honest, and display a high level of integrity.
- Ability to work effectively in a team environment.
- Ability to identify and resolve problems in a timely manner.
- Able to understand and respond appropriately to basic inquiries.
- Able to read, write, and communicate using the English language sufficient to perform job functions.
- Ability to use Company equipment in assigned areas (including but not limited to telephone, copiers, fax machines, computers, internet, etc.)
- Able to access, input, retrieve, and interpret information using applicable computer systems (including, but not limited to, Microsoft Word, Excel, Outlook, industry-specific computer software, etc.)
- Work well independently.
- Able to handle deadlines and work within company guidelines.
- Compliance with all Bank Secrecy Act (BSA), Anti-Money Laundering (AML) laws, and Office of Foreign Asset Controls (OFAC) requirements is required. Employee must complete annual training in these areas.
Work Environment
This job operates in a clerical office setting; climate-controlled surroundings with adequate lighting and little or moderate noise when in the office. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
This position requires the ability to lift files, open filing cabinets, and bend or stand, as necessary.
Travel
This position requires up to 10% travel. Regional traffic conditions when traveling by car to-and-from business appointments. Mileage reimbursement will be provided at current IRS allowable rates.
Expected Hours Of Work
Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m. Evening and weekend work may be required as job duties demand.
