Job Description:

Summary
The Facilities Planning and Management department is seeking qualified candidates for the Contract Administration Coordinator role. Who will provide administrative coordination and support of contract administration, assists leadership in performing the essential functions of contract administration, and i nterprets and applies applicable policies for contract administration in handling various capital processes from conception to completion of projects.



Example of Duties
  • Supervises department in absence of manager.
  • Provides support in gathering project data collection and formulating reports.
  • Assists in managing record retention.
  • Maintains close working relationships with management, customers, and other professionals.
  • Handles consultant and construction manager selection process as needed and as required by the Board of Regents, State of Iowa Policy Manual
  • Sets up projects in Lucernex and constructors for payments.
  • Processes change requests and change orders.
  • Prepares Board of Regents bidding documents for public bid capital projects.
  • Conducts meetings and attends bid events, such as prebid meetings, construction meetings, and others as required.
  • Prepares presentation materials, such as the prebid meeting agenda, pre-construction meeting, etc.
  • May handle processing of consultant agreements, amendments, and payments.
  • Handles constructor payments and change orders.
  • Handles distribution of review sets during the design of the project.
  • Conducts review and quality control of documents during the bidding process and as needed.
  • Prepares and processes project, contract-related documents, bidding documents.
  • Handles post construction and closeout processes for public bid capital projects.
  • Processes intramurals.
  • Handles billings received from Risk Management for Builders Risk.
  • Provides support in gathering project data collection and formulating reports, such as the Targeted Small Business reporting with Procurement and ISD.
  • Interacts with all capital project staff, external partners, Board of Regents, and the public.
  • Responds to inquiries and resolves issues for all capital project staff and stakeholders.
  • Provides back-up support as needed.
  • Maintains procedure manual.

  • Able to resolve most problems and issues and respond to requests without escalation
  • Provides guidance to students
  • May provide supervision to one to two other staff or lead a small work team
