The job
The Customer Service Representative will act as the primary point of contact between Boortmalt and our craft customers in the USA. You will oversee the relationship for a set of accounts, from taking and servicing orders, answering questions and supporting processes that enable the business to deliver outstanding service. You will partner with a cross-functional, internal team to find the best solution for our customer. You will own and update reports related to Open Orders, Demand/Forecast, Shipments and other misc reports as needed.
Your responsibilities include, but are not limited to:
40% Customer Relations - Customer Service holds a key role in the business handling a variety of customer facing activities:
· Consistent and professional communication with customers regarding contract balances, invoicing issues, shipping plans, shipments and open orders.
· Receive/enter/monitor customer orders, returns and credits.
· Follow-up with pricing, credit, quality assurance, transportation, warehousing and supply chain, and monitor any non-conformance events.
· Monitor various reports to properly maintain orders, returns, complaints, contracts, forecast, etc.
· Ensure timely resolution of customer complaints and capture associated costs
· Participate & lead customer calls and visits when applicable.
· Complete monthly and weekly customer reporting to both customers, commercial and production groups
40% Commercial Assistant
· Participate in obtaining forecast information and Demand Planning solutions
· Provide new product information to encourage sale
· Communicate frequently with peers and management regarding customer requests, contracts, and invoices.
· Manage volumes on Forecast, and manage daily communication and interaction with the Sales team and customers.
· Follow proper processes to ensure new customers and products are set up in SAP system and maintain data integrity.
· Create and distribute reports as needed.
15% Accounting Functions
· Accounts Receivable: Short pays/Open Invoices - Monitor, investigate and provide solutions to customer/company
· Invoice customers on a daily basis and ensuring contract prices and terms are correct.
· Attend and participate in monthly A/R calls, as well as other misc meetings.
5% Other duties as designated
Who you are
· 3+ years’ experience in a customer demand driven business, preferably in beer, distilling and/or malting business.
· Abilityto work independently or in a team and achieve hard deadlines.
· One-year certificate from college or technical school
· Strong problem-solving and decision-making skills
· Demonstrated ability to be proactive and take initiative to solve problems and influence change.
· Proficient in Excel and other office suite apps.
· SAP experience.
· English required
