The role

The Dental Office Manager is responsible for general office oversight and key performance indicator (KPI) management across all in-office departments.

The Dental Office Manager will work closely with both the Director of Operations and their fellow Managers to ensure consistency across all dntl bar locations. Our candidate will be focused on customer service and team leadership - leading with a people-first mentality. The Dental Office Manager is a people advocate at heart, working to ensure that we meet our service standards through servant leadership, inspiring and motivating their team to achieve their personal best.

Ideal candidates should be agile, adaptable, and comfortable learning all necessary business functions specific to dntl bar. Previous experience in the dental field/a knowledge of dentistry is required.

This position reports to the Director of Operations.

Compensation Range: $80,000 - $95,000 per year + up to 25% of annual salary bonus potential.

All Office Manager roles are FT and work the below schedule:

  • Monday - Friday | 7:30 am - 4:30 pm (3 Wednesdays out of the month are WFH!)

Essential functions/responsibilities

    • Lead, inspire and motivate a diverse team of clinical and non-clinical members to deliver an exceptional customer experience.
    • Direct oversight of all in-store departments including Customer Representatives, Dental Assistants, Dental Hygienists, and the Dental Team.
    • Hire, manage and develop team members across several departments within the store.
    • Responsible for store performance and department KPIs.
    • Creating staff schedules, employee payroll, monitoring staff performance, onboarding new hires
    • Create a warm, welcoming, and safe environment for all customers.
    • Manage all aspects of customer registration, and electronic medical record (EMR) including customer details, financial records, and insurance claim forms, as needed.
    • Manage and optimize customer scheduling.
    • Treatment plan coordination, ensuring follow-up and adherence.
    • Ensure customer satisfaction and service standards are met.
    • Insurance oversight including submission of claims, treatment plans for predetermination of benefits, and billing team support.
    • Supply and inventory management.

Qualifications

    • Previous dental experience and/or dental office management experience is required for this role.
    • 3 - 5 years of management experience in a fast-paced, customer-facing business.
    • Strong people management & communication skills.
    • Proficient with computers and comfortable learning new systems; experience with word processing, insurance claims processing, and electronic records management (EMRs) a plus.
    • Knowledge of automated dental equipment used in the office.
    • Positive, welcoming, and can-do attitude with customers and other dntl bar employees; ability to influence culture.
    • Flexible/adaptable nature to work in a continuously evolving environment.
