DEVELOPMENT OPERATIONS Coordinator

The mission of the Van Wezel Foundation is to create a world-class performing arts center, that enriches the community, supports arts education, and inspires young minds.
The Van Wezel Foundation (aka, the Sarasota Performing Arts Center Foundation) is partnering with the city of Sarasota, other regional municipalities, private philanthropists and foundations to build and operate what will be the performing arts centerpiece of Sarasota and the entire gulf coast region. The new performing arts center will be a public-private-partnership in which the City of Sarasota and the Foundation will be the principal participants. Completing the project – construction, operations and programming – will require funding of more than $350 million, of which 50% is anticipated to be raised from philanthropic sources.

Development Operations Coordinator
Reports to: Director of Development
Summary:
The Development Operations Coordinator will provide a comprehensive and meticulous approach to data entry, donor acknowledgment and benefits fulfillment. They will manage the daily operations of gift processing, including gift entry and acknowledgement.
Essential Duties and Responsibilities:
- Manages the timely and accurate processing of philanthropic gifts and grants, and campaign and donor reporting.
- Ensures the organization’s internal controls around cash handling and revenue recording are maintained with respect to gift processing and record-keeping
- Work with Operations team to perform regular reconciliations of the gift records in the constituent database with the accounting system
- Work with Operations team and external auditors on annual audit, as requested
- Acknowledges all charitable donations in accordance with IRS and VWF Foundation regulations and policy.
- Creates and manages ad hoc as well as routine data and reports.
- Enters and maintains all information for constituents, including biographical information, gifts, contacts, actions, relationships, and affiliations.
- Works collaboratively with the Directors of Development, Marketing, Major Gifts and Legacy Giving, Campaign Management and Finance, and all members of the development team.
- Works with development team to develop and implement targeted lists for strategic fundraising purposes.
- Works with the Director of Development to define, recommend, and implement policies and procedures to support fundraising efforts, systems support, data integrity and security, and gift processing and oversight.
- Assists with donor ticketing, events and other benefit fulfillment as needed
- Performs other duties as assigned
Knowledge, Skills and Abilities:
- Data Entry experience
- Familiarity with Constituent Relationship Management systems, Tessitura preferred.
- Proven ability to work and participate in a team atmosphere.
- Knowledge and experience in working with donors, database software, donor tracking, and stewardship.
- Strong commitment to the ethical handling and management of donor information.
- Proficient in Microsoft Office suite
Minimum Requirements:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Bachelor’s degree in a related field and (2) years of related experience or five (5) years of directly related experience with customer relationship management software in a non-profit setting.
Position Status:
This is an exempt full-time position. Generally, the hours are 9:00 a.m. to 5:00 p.m., Monday through Friday, for a 40-hour work week. The hours may be adjusted as required to ensure that the job is accomplished. Some weekends/nights work is to be expected.
