This position is responsible for providing administrative support to executives, managing daily operations, and overseeing project management activities. Ensures efficient and effective coordination of activities between sites, departments and partners. This position requires excellent organizational, communication, and time management skills.
Key Responsibilities:
- Provide administrative support to the Head of Global Reagents Manufacturing and the Glasgow Site Leader. This includes scheduling appointments, organizing meetings, meeting minutes, and projects, act as an interface with other functions.
- Must maintain confidentiality and act as executives’ gatekeepers.
- Oversees day-to-day administrative operations to ensure efficiency and effectiveness. This includes supporting managing staff, creating and implementing policies and procedures, and coordinating activities between departments/functions.
- Oversee project management activities: Manages and coordinates projects by monitoring project timelines, tracking progress, and ensuring deadlines are met. This includes collaborating with team members to ensure successful project completion. Global meetings are also considered projects.
- Communicates with stakeholders, including executives, staff, and partners. This involves answering questions, providing information, and resolving issues promptly and professionally.
- Prepares reports and presentations for executives. This involves gathering data, analyzing information, and presenting findings clearly and concisely.
Responsibilities:
- The Executive Administrative Assistant/Project Coordinator plays a critical role in the success of an organization. Supporting the executives, they ensure daily operations run smoothly, projects are completed on time and within budget, and stakeholders are satisfied.
Specific project management
- Represents Reagent Manufacturing
- Coordinating and scheduling international meetings across multiple time zones
- Managing and maintaining executives' calendars and travel itineraries
- Planning and coordinating international travel arrangements, including flights, accommodations, and transportation
- Handling correspondence and communication with internal and external stakeholders
- Preparing and organizing documents, reports, and presentations for international meetings
- Collaborating with other administrative staff and team members to ensure seamless operations and communications across borders
- Managing and organizing international events; travel will be required.
- Handling expenses, invoices, and budget tracking for international projects
- Assisting with various administrative tasks, such as data entry, record keeping, and filing
Required Knowledge, Skills, and Experience
- Strong organizational, communication, and interpersonal skills are essential.
- Awareness of international business practices and customs.
- The ability to work well under pressure, multitask, and adapt to changing situations is crucial.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite and related software.
- 3-5 years of experience in operations management or project management.
- Preferred Knowledge, Skills, and Experience
- 5+ years Executive assistance experience supporting Senior leaders
- Bachelor’s degree in business administration, operations management, or related field preferred.
- SAP
- Proficiency in languages other than English is a benefit
Education and Experience
- Excellent communication, organization, and time management skills.
- Ability to work independently and manage multiple tasks simultaneously.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving skills and attention to detail.
- Excellent leadership and teamwork skills.
