We are seeking an Executive Assistant to support the Arts & Events team, reporting to the Senior Vice President of Arts & Events. The ideal candidate will be a self-starter who is detailed oriented, proactive, and professional. The ability to interact with staff (at all levels) and members of the public in a fast-paced environment, sometimes under pressure while remaining positive, flexible, resourceful, and efficient is key to this role. Role & Responsibilities:
- Maintain Calendar for SVP and coordinate a variety of internal and external meetings for the A&E team
- Create and maintain Power Point presentations and iPad photo albums
- Accurately create, format, and maintain detailed Excel and Word documents for the NYC program
- Create and submit monthly expense reports in Concur for SVP and VPs
- Work with IT on equipment and technology shifts; be a general resource regarding all technological concerns for the department
- Liaise with the general public to disseminate event specific and program information via phone and email
- Respond to Special Event, Rental, and Programming Inquiries
- Assist with tracking RSVPs for events and upload to the marketing platform on the event day
- Manage VIP database
- Occasional booking of travel and arranging of travel needs
- Assist with other projects as needed
- Administrative tasks including mailing/Fed Ex, catering orders, room bookings, on/off boarding employees, Iron Mountain account, organize storage closets, etc.
- Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
- Work effectively without constant and direct supervision or guidance
- Promptly respond to requests with accuracy and a courteous demeanor
- Demonstrate an awareness of the fundamental business principles as well as an understanding of the overall firm to ensure appropriate decision-making protocols are followed
Your Qualifications:
- (5+) years’ experience supporting at the executive level
- Highly proficient in MS Office, including Word, Excel, PowerPoint and Outlook
- Ability to communicate effectively with all levels of employees, including senior executives, as well as vendors and members of the public
- Experienced with Concur and expense management
- Extremely organized with the ability to anticipate requests and be proactive

Compensation & Benefits:
Salary Type: Exempt/Non-exempt
Pay Frequency: Bi-weekly
Annual Base Salary Range: $80,000-$100,000
Medical & Pharmacy Coverage: Yes, under Brookfield Medical Plan
Dental Coverage: Yes, under Brookfield Medical Plan
Vision Coverage: Yes, under Brookfield Medical Plan
Retirement: 401(k)
