Job Summary
The Executive Assistant manages and oversees the day-to-day operations and administrative support activities of the Office of the Vice President for Enrollment. Serves as the primary point of contact for both internal and external constituencies, assists and represents the Vice President in communicating with constituents, and handles multiple issues and concerns addressed to the Vice President, as they arise. The Executive Assistant manages a variety of special projects for the Vice President.
Minimum Qualifications
Associate's Degree in Business Administration or related field
- Five years of experience, including two years’ experience in providing executive support for a President, Vice President or Executive Director level.
- Two additional years of directly related training and experience may be substituted for degree.
Relevant combinations of education, training and experience may be considered.
Minimum Knowledge, Skills, and Abilities
- Demonstrated proficiency with Microsoft office suite skill set including advanced knowledge of PowerPoint
- Ability to work with sensitive information in a confidential and diplomatic manner
- Ability to prioritize, plan, and organize
- Ability to work independently without constant supervision
- Ability to adapt to change quickly
- Skill in organizing resources and establishing priorities
- Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects
- Excellent verbal and written communication skills
- Ability to work with a wide range of diverse internal and external constituencies
Job Duties
- Oversee the Office of the Vice President to ensure that all incoming and outgoing Divisional activities and correspondence are reviewed and responded to promptly. The incumbent is expected to inform and provide timely communication to the Vice President verbally and in writing.
- Manage calendar and independently schedule appointments for the Vice President.
- Coordinates the work schedule of the Vice President.
- Assist the Vice President in planning, organizing, prioritizing, and coordinating the timely assignment, follow-up, and completion of the workload, tasks and performance plan initiatives in the Division.
- Handle all inquiries received by the Office of the Vice President by screening calls, scheduling appointments, setting-up telephone and/or web-based conferences using diplomacy and professional tact. Compose a variety of correspondence and documents for the Vice President; proof documents for grammar, spelling, and punctuation before distributing.
- Develop and maintain an efficient, confidential records management system to ensure immediate availability of materials.
- Participate in development of policies, objectives, and long-range planning; develop tracking and evaluation programs to assist in accomplishment of established goals. Provide guidance to Administrative Personnel in the Division to ensure adherence to standards of the Institute.
