EXECUTIVE ASSISTANT

Pay Range: $23.85 - 28.10 per hour

Riverbend Community Mental Health, Inc., one of the largest providers of community-based behavioral health services in New Hampshire, is seeking an energetic and organized person for a full-time Executive Assistant position.

In support of the Company Mission, this position provides administrative support, with limited supervision, for the Chief Operating Officer, Chief Medical Officer, Chief Financial Officer and other key executives. Responsibilities involve performing a variety of administrative tasks and managing daily schedules, and priorities to ensure efficient operations. This position requires excellent organizational, communication, and interpersonal skills, as well as the ability to prioritize tasks, work well under pressure, and maintain a high level of confidentiality.

Essential Duties and Responsibilities:

  • Provide administrative support to the Sr. Executive Assistant, including but not limited to managing schedules, arranging meetings, drafting correspondence, preparing reports, and travel arrangements. In addition, this position is the back-up for providing administrative support to the Board of Directors.
  • Responds to emails and phones calls in a professional and timely manner and liaise with internal and external stakeholders as necessary.
  • Organize and maintain executive files, records and correspondence, ensuring confidentiality and discretion.
  • Maintain accurate and up-to-date records, including meeting minutes, expense reports, and other administrative documents.
  • Assist other members of Sr. Leadership team to ensure smooth and efficient operations.
  • Prioritize and manage multiple tasks and projects simultaneously, and ensure deadlines are met.
  • Manage calendars and coordinate schedules for the COO, CMO, and CFO.
  • Relieve the COO, CMO, and CFO of some routine details.
  • Attend team meetings as the coordinator and recorder.
  • Exercise independent judgment or decision-making while the executives are absent, as situations require.
  • Assist with ad-hoc projects and tasks as required.
  • Other duties as assigned.

  • The ability to make judgments in the analysis of facts and conditions regarding individual problems to determine what actions should be taken, within the limits of standard practice is required.
  • The ability to maintain compliance with all company policies and procedures is required.
  • Strong organizational skills including the ability to manage calendars and effectively maintain records and files.
  • Strong interpersonal skills and the ability to build and maintain professional, friendly relationships with stakeholders, including staff, board members and external stakeholders.
  • Proficiency with both written and verbal communications including grammar, spelling and proofreading.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client services and response.
  • Working knowledge of telephone systems, standard office equipment and computer programs including but not limited to Microsoft Word, Excel, PowerPoint and calendaring tools.
  • Team-Player with the ability to also be extremely effective independently.

Education and/or Experience Requirements:

  • High School Diploma or equivalent is required; college degree preferred.
  • Valid driver’s license and personal vehicle or access to a reasonable alternative is required.
  • Three years’ administrative support experience required.
  • Administrative experience within the healthcare field is preferred.
  • Experience with Microsoft Excel, Word, and Power Point is required.

Travel:

Local travel to various work sites, vendor offices, event locations, state agencies, or other locations necessitated by job duties is required.
