Executive Assistant Job at SF LGBT Center
eporting directly to the Executive Director, the Executive Assistant will be responsible for all aspects of support related to the Executive Director and the Executive Leadership Team (Director of Programs, Director of Development and Communications, Sr. Director of Operations, and Director of Culture and Equity). The Executive Assistant provides administrative support to the Executive Director, serves as a point of contact for internal and external constituents, serves as a liaison to the Board of Directors, and organizes and executes special projects. Responsibilities will involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion, and judgment. The Executive Assistant supports organizational values that include a demonstrated commitment to racial and gender justice and demonstrated ability to live out the values of belonging, connection, integrity, respect and equity.
Essential Job Functions
- Overall coordination of the Executive Director’s calendar, including coordinating meetings, agenda, conference calls and other logistics.
- Respond to external inquiries (phone and email).
- Compose and prepare correspondence, presentation materials and other forms of communication.
- Meeting preparation, including co-creating agendas, communicating with attendees, and meeting logistics.
- Organize and/or support events, including board meetings and retreats, donor cultivation events, and events for the community.
- Support a strong organizational culture through coordination of staff wide trainings, team building activities, and staff feedback and surveys.
- Support organizational administrative systems, including maintaining office supplies, and maintaining organizational files and documents (including staff access to organizational electronic files and documents).
- Research, coordinate and manage special projects and/or initiatives.
- Actively participate in Center wide efforts to support racial justice and equity, including trainings and caucuses. Ability to demonstrate personal and professional alignment with organizational values including belonging, connection, integrity, respect and equity.
- Perform other related duties as assigned.
Minimum Qualifications
- Understanding of the needs of vulnerable LGBT communities, strategies to meet their needs, and ability to work with a broad range of constituents and stakeholders representing the full diversity of the LGBTQ and allied communities.
- Commitment to the mission of the SF LGBT Center and a strong commitment to racial, social, and economic justice.
- Preferred experience supporting executive level staff in a non-profit setting.
- Very strong interpersonal and organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail.
- Strong interpersonal skills and the ability to build relationships with stakeholders including staff, board members, external partners and donors.
- Excellent written, proofreading and verbal communication skills.
- Ability to work both independently and in a team setting.
- Proven ability to handle confidential information with discretion.
- Demonstration of the highest level of customer/client service and response.
- Demonstrated proactive approaches to problem solving with strong decision-making capability.
- Ability to think critically, analyze problems, and contribute to agency leadership.
- Excellent administrative skills, including Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Google Docs and social media platforms.
Working Conditions
This position is primarily office based at the Center’s 1800 Market Street location with an ability to negotiate a schedule of remote work up to a maximum of 20% time.
Essential physical requirements
- Must be able to operate a computer and other common office machinery such as a copier/fax/printer up to eight hours/day daily.
- Must be able to remain in a stationary position for periods of several hours daily.
- Must be able to lift to 20 pounds on an occasional basis.
- Must be able to work in a shared office space with 3 or more employees in the same office with moderate levels of noise.
The hours are primarily Monday – Friday with occasional need for evening or weekend work. Work schedules are negotiable within a standard 8:00 am – 7:00 pm window.
Local travel may be required for meetings or offsite events. Out-of-town travel is infrequent and negotiable. No car required.
Compensation
$38.77/hour, excellent benefits, and generous paid time off policies.
Full-Time/ Non-Exempt.
