EXECUTIVE ASSISTANT, PITCHFORK
Pitchfork is seeking a proactive, deadline-oriented, and extremely organized Executive Assistant who will report to the Editor in Chief. Able to efficiently multitask and prioritize, this role works closely with the EIC and Managing Editor to maintain smooth operations across a fast-paced digital media brand. They also play a critical role in the content operations of the brand, requiring the highest standards of judgment and discretion at all times. A successful candidate may also have the opportunity to assist other editors with multimedia assignments as well as contribute creatively to the publication.
Primary Responsibilities:
  • Day-to-day administrative support to the EIC including, but not limited to:
  • All calendar/schedule coordination and management
  • Coordinating staff meetings as necessary
  • Arranging travel, expenses, payments, and invoices
  • Communicating across departments on behalf of the EIC, including gathering departmental and section agendas for major editorial initiatives and events
  • Assisting with prioritizing incoming requests and deadlines on a daily, weekly, and monthly basis
  • Providing support to the EIC during special events and brand tentpoles
  • Additional administrative and scheduling support to the broader editorial team as needed
  • Content administrative operations support including, but not limited to:
  • Setting up and onboarding new freelancers/vendors (email support, connecting them with appropriate teams at CN, etc.)
  • Inputting and processing SOW requests into epayables; creating project IDs and setting up freelance contracts using Peoplesoft
  • Partnering with finance to track expenditures and coding strings, and report monthly finance forecast to internal team
  • Contributing to the operations and invoicing of special projects as needed
  • Manage Staples account for office business needs
Minimum Requirements & Qualifications:
  • 1-2 years of experience in a fast-paced environment, ideally at a media, music, or lifestyle brand/company/organization
  • Strong communication, collaboration, and interpersonal skills
  • Discerning judgment, confidentiality, and professionalism when interacting with internal teams and members of the public
  • Able to handle sensitive information with discretion and care
  • Comfortable using spreadsheets, digital organization tools, and digital calendars, and quickly adapting to changes in software, technology, and processes
  • Problem solving skills and strong attention to detail with the ability to multitask, anticipate needs, and follow-through in a fast-paced environment
  • Familiarity with Pitchfork and general editorial operations
  • Deep love of music and an interest in journalism or media
The expected base salary range for this position is from $56,500 - $78,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
