I'm looking to hire looking for a high-energy, results-driven, and detail-oriented Remote Executive Assistant to manage all administrative duties of my business. If you are passionate about working with clients offering a luxury service with ease - anticipating their needs - I invite you to apply.

You’ll handle my business and personal details, including scheduling (personal and client projects), research projects, ordering groceries and making personal appointments.
This is a contract position with possibility of becoming a full time role of up to 40 hours per week. Depending on how we work together and if you meet your 3 month goals/trial period you’ll be offered full benefits at the 90 day mark (medical, dental, vision)
This is a remote role, so you can work from anywhere in the United States during the time zone I’ll be in (typically PT) business hours. We’ll communicate via email, chat and phone.
Tasks and Responsibilities
- Maintain and manage daily calendar, arrange calls/zoom meetings with clients. Making sure all details are handled in a clear and organized manner.
- Calendar management;
- Protect the client’s calendar (client works in time blocks)
- Alert the client of changes in the calendar
- Be proactive about scheduling to avoid any potential conflicts and schedule according to the calendar rules document.
- Appointment scheduling;
- You’ll be responsible for scheduling with clients throughout their styling journey to ensure everything is in the calendar and on time.
- Ensure all appointment details are included;
- Confirm appointments;
- Ensure all client intake forms have been completed/submitted to prepare client for her meetings
- Update master client list;
- This is currently done in Google Docs (which you’ll need to be proficient in)
- Book all travel arrangements, including lodging, transportation and activities, both within the US and internationally.
- You’ll operate with the highest level of confidentiality and thrive off supporting a busy CEO
- Personal assisting;
- Handle personal details such as shopping, ordering gifts, scheduling personal appointments, maintaining household items, other ad hoc research.
Knowledge and Skills
You abide by the upmost level of confidentiality.- Ability to manage multiple incoming requests while ensuring they’re relayed or handled at the appropriate time, in the necessary order and correct manner.
- Attention to detail- whether it’s calendar invites, zoom links, preparation documents you get this right every time.
- You’re an excellent communicator and proactive in all communication matters.
- You’re an expert at Google Email and Calendar filters, labels and more to create long lasting, efficient systems.
- Ability to quickly learn new software applications and be very proficient with technology.
- Capability to set up new systems and processes in order to streamline business and personal functions.

- Experience managing calendar and inboxes of busy CEO
- Top notch communication via email and phone, internally and with customers.
- Proven ability to prioritize tasks.
- Perfectionist, and you are crazy about super attention to details
- Since this is a virtual position, you must be a self starter, self motivated, and able to work independently with minimal oversight.
- Must be comfortable developing and working in a virtual relationship, having limited amount of facetime.
