Job Description
Facility Administration
Acts as the facilities representative and works onsite during hours of operations (8 am – 5 pm). Ensures onsite operations run smoothly including, but not limited to, office maintenance needs, recruiting and onsite interview support, company event planning, customer meeting support, building ID badging, catering planning, etc.
Facility Security Officer (FSO)
The FSO will manage security measures necessary for implementing applicable requirements of the National Industrial Security Program Operating Manual (NISPOM). The FSO will serve as an alternate point of contact for all industrial security concerns, and provides security expertise, guidance, and advice to management and staff. This position is located in Ann Arbor, Michigan.
Duties and Responsibilities
Facility Administration
- Serves as the main point of contact for onsite office needs during business hours and supports administrative/reception requests as required.
- Manages building maintenance repairs and recommends changes/improvements.
- Monitors performance issues of printers; alerts IT or external source for repairs.
- Maintains inventory levels of general office supplies; reorders/restocks for events as necessary.
- Collecting and distributing all incoming/outgoing mail, packages, and deliveries. Including trips to FedEx drop off locations.
- Organizes purchasing of office supplies, café snacks, beverages, cleaning supplies, etc.
- Manages onsite event planning and catering needs for staff/customer events.
- Supports onsite or offsite project event/demonstration planning as needed.
- Other duties as assigned.
Facility Security Officer (FSO)
- Adheres to all aspects of the National Industrial Security Program (NISP) and other security activities within the company facilities, including document control, visitor control, personnel security, and interpretation/preparation/maintenance of prime and subcontract DD Form 254 for classified contracting.
- Works all facets of the personnel security clearance process to include, initial request, fingerprints, indoctrination, reinvestigation, etc.
- Provides initial security briefing to new employees, and debriefings to departing employees.
- Develops and administer a security education, training, and awareness program for both cleared and non-cleared personnel.
- Writes and administers necessary standard operating procedures in accordance with the NISPOM.
- Collects incident/adverse reports and composes the Incident Reports for DISS and DCSA transmission and performs information reporting.
- Conducts periodic self-inspections as directed by the NISPOM.
- Prepares for and participate in the DCSA facility security assessment.
- Facilitates and participate in Insider Threat Management Team activities.
- Collaborates closely with the FSO and other physical and cyber security staff on raising security awareness and maintaining a security-focused corporate culture.
- Other duties as assigned.
Required Skills and Experience
- Must be eligible for or have an Active Secret Security Clearance.
- A degree in business administration, human resources, management, psychology, sociology, or a related discipline or equivalent experience.
- Ability to display tact, discretion and diplomacy when interacting with employees and management at all levels within the company.
- Expertise using MS Office toolset.
- Possess strong communication (both oral and written), organizational, interpersonal, problem solving, and time management skills.
- Ability to travel to support security/organizational needs.
- Ability to obtain and maintain a Department of Defense (DOD) Security Clearance.
Preferred Skills (Not Required)
- An advanced degree in business administration, human resources, management, psychology, sociology, or a related discipline or equivalent experience.
- Relevant security experience, including experience working with the Defense Counterintelligence and Security Agency (DCSA).
- Knowledge of compliance with ITAR and EAR
- Knowledge of NISPOM.
- Knowledge of security related programs, i.e., DISS/NBIS, NISS, eQip, etc.
Physical Requirements
- Must work onsite during regular work hours.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 40 pounds at times.
- Ability to travel to support security/organizational needs.
