Job Summary

Directly reporting to the AAAS Department Administrator, provides course, research, and administrative support for four senior faculty members affiliated with the Department of African and African American Studies (AAAS) as well as administrative support to the Department itself when directed to do so.


Position Description

Provides course-related faculty support, including but not limited to:

  • updating course materials, maintaining course Canvas sites and Open Scholar websites, library research, and scanning and copying course materials.

Provides administrative and research support, including but not limited to:

  • organizing and sending letters of recommendation,
  • ordering and maintaining supplies,
  • updating and maintaining faculty web pages,
  • Payment and reconciliation of expenses in Concur, keeping accurate record of of invoice and reimbursement documentation,
  • Planning faculty travel arrangements,
  • budget and expenditure tracking,
  • event planning and management,
  • scheduling,
  • additional duties as assigned.

Provides general administrative support to the department of African and African American studies, including but not limited to:

  • Greeting visitors to the department
  • Helping other staff members with tasks that can include updates on the department website, help with creation of the newsletter, help with events and faculty searches, and other duties as assigned.

Basic Qualifications

Three years of administrative experience.

Additional Qualifications and Skills

Familiarity with Microsoft Office applications including Excel, Word, Access, Outlook. Previous experience autonomously managing multiple and shifting priorities. Familiarity with University applications including but not limited to OpenScholar, Canvas, Concur, and B2P are strongly preferred.

Working Conditions

This position requires regular travel among FAS campus locations and may include occasional travel to other Harvard campuses.


The Department of African and African American Studies currently works on a hybrid schedule where staff work in office normally 3 days per week (but can be ask, on occasion, to come in more often depending on business needs). This arrangement may change depending on university and management needs and future directions.
