FRONT DESK ASSOCIATE – PORT ORCHARD
*The anticipated start date for this position is May 17, 2023.
This position is based on-site at McCormick Woods. The Front Desk Associate position is a full- time position and is part of a team providing association management services to the
McCormick Woods Association.
ACTIVITIES:
The Front Desk Associate will work in cooperation with other staff members pursuant to the management contract between McCormick Woods Association and HOA Community Solutions.
The Front Desk Associate is employed by the Management Company.
RESPONSIBILITIES:
- Greeting homeowners and assisting them with their questions, concerns, and requests.
- Regularly preparing and updating Microsoft Word documents and Excel Spreadsheets.
- General administrative and office work to include filing, making copies, etc.
- Composing letters, email blasts, notices and email correspondence with homeowners, vendors, etc.
- Updating the Association Website.
- Assisting with coordination and preparation of association meetings.
- Supporting the office staff as well as the various association committees and Board of Directors.
- Assisting with painting and landscaping schedules, contracts, forms and working with contractors and homeowners on these issues.
- Processing and follow-up on status of all Maintenance Request Forms.
- Maintaining numerous logs.
- Homeowner and Inter-Office correspondence.
- Preparing and updating binders for committees.
- Accepting homeowner payments.
GENERAL INFORMATION, QUALIFICATIONS AND REQUIREMENTS:
A qualified applicant will have the following characteristics:
- Excellent verbal and written communication skills; a writing sample will be required.
- Attention to detail, follow-through, organizational and time management skills.
- Proficient in Microsoft Word, Outlook and Excel.
- Effectively multi-task and work well with interruptions.
- A strong work ethic, a positive attitude and a willingness to learn and adapt.
- Self-motivated with the ability to work independently or as part of a team.
- Prior experience or understanding of homeowner’s associations is a plus but not required.
GENERAL JOB / COMPANY INFORMATION:
- Job hours are Monday through Friday, 7:30am to 4:00pm.
- Hourly rate dependent upon experience. Job performance will be reviewed at 30, 60 and 90- day periods. Eligible for health benefits on the first of the month following 60-day completion. Position is an office job with casual but tasteful attire.
- The Front Desk Associate position is the first face and/or voice that most homeowners interact with, so it is essential that the associate present a pleasant, friendly, professional demeanor. Must be able to adapt to changing priorities and juggle multiple tasks.
