Summary: The Frontdesk/Receptionist needs to be a multi-tasker, detail-oriented, people-person with a strong work ethic and excellent communication skills. Must provide excellence in patient care, assuring that the patient experience is the highest quality. Works with the Administrative Supervisor and team members to improve and maintain practice flow. Oversees provider scheduled to assure that all providers’ schedules are maximized to allow for increased productivity, without decreasing the patient experience. Assist in all aspects of administrative tasks as directed by the Administrative Supervisor.

*Duties and Responsibilities:

Presenting and reviewing Treatment Estimates to Patients

Scheduling Patients for Surgery/Consultations/Treatments

Collecting/Posting Payments and Charges

Oversees Providers schedules

Works with the Admin Team, Clinical team, providers, and to build and maintain before and after photo database.

Maintains general knowledge of all Services/Procedures /Treatments/ Products provided by all providers and sold by Medispa Maui and also Rheumatology Associated of Maui.

Rotate to oversee reception/ front desk, opening and closing duties required

Maintain sanitation standards for front of house

Prepare charts as needed for patient visits/ treatments

Document all interactions with patients in chart/EMR system

Preparing and updating treatment/ procedure consents as needed

Create Word/Excel Document and Google Sheets as needed

Interacting with clients in a friendly and professional manner.

Checking clients in and out of their appointments, pulling charts, and filing.

Answer phones and schedule client appointments.

Master a basic understanding of each service offering.

Upsell new areas/services to current clients in order to hit the individual monthly targets.

Assist with social marketing and events as needed.

Collecting and handling payments.

Confirmation and follow-up calls.

Knowledge of PM/EMR (data entry, usage, etc.)

Other duties as assigned.
