Job Description
Responsible for ensuring compliance of workforce regulatory requirements, including auditing new hire files.
Summary of Duties and Responsibilities:
- Review and conduct quality control prior to files being filed or scanned electronically.
- Generate monthly HR related non-compliance reports (Occupational Health, Licenses, Certifications, etc.) and follow-up with facilities/employees to ensure compliance
- Assist with archiving physical/historical personnel files onto OnBase for staff transferring out.
- Monitor employee performance appraisal compliance.
- Review evaluations, signatures/dates, overall rating to ensure it is completed with integrity. Ensure that 3-month evaluations are created for those with unsatisfactory ratings.
- Ensure site leadership and supervisors understand performance appraisal process. Respond to inquiries as needed
- Identify and track evaluations that have a below satisfactory rating, create 3 -month follow-up, notify Director of Labor Relations and provide supervisor with a 90- day Corrective Action Plan document (CAP)
- Assist with preparing employee files for site surveyor
- Establish and maintain standard procedures and guidelines in relations to file management.
- Responsible for the monitoring, tracking and security of all Personnel Records.
- Ensure the confidentiality of all files when not being utilized for transitional actions by HR staff.
- Respond to information request from other facilities.
- Ensure transferred files are sent within 3 business days.
- Respond to subpoena requests.
- Respond to requests by employees to review their files.
Minimum Qualifications
1. Bachelor’s Degree from an accredited college or university in Human Resources Management, Labor Relations, Public Relations, Healthcare Administration, or a related discipline; or
2. Associate’s Degree from an accredited college or university in Human Resources Management, Labor Relations, Public Relations, Healthcare Administration, or a related discipline and two (2) years of relevant experience in human resources or personnel administration, labor relations, employee relations, learning and development, talent acquisition, customer service (providing information and resolving customer concerns), or a related administrative support function; or
3. High School Diploma or its educational equivalent and four (4) years of relevant experience, as described in “2” above.
