Job Description
SUMMARY
Greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. Notify company personnel of visitors’ arrival and all package delivery. Assists with functions such as maintaining personnel files, administrative duties, facility issues, office supplies, SLT meeting support, staff planning events.
ESSENTIAL FUNCTIONS
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.
- Greet guests, contact requested staff members, accept deliveries.
- Handle all incoming calls by transferring and taking messages.
- Perform confidential filing and recordkeeping for the HR department.
- Retain front office appearance.
- Maintain NCBA Store, new products and adding new products.
- Fulfill role of facility contact with building management for repairs or needs.
- Contact Fire, Emergency personnel and insure Evacuation Procedures.
- Ensure adequate office supply and copy room paper supply needs.
- Maintain the vendor relationship for office supplies with ordering, pricing and need requirements.
- Create new FOB’s and new employee files.
- Assist with Executive Kitchen administration on coffee, dishwasher, and general cleaning needs.
- Daily response to freight elevator, paper delivery, unlocking building and reception doors for visitors.
- Be available to assist with administrative needs throughout the organization.
- Responsible for organizing industry/stakeholder meetings as requested by the senior leadership team.
- Supply administrative and meeting support to NCBA senior leadership team as requested. Schedule meeting arrangements, logistics, and special meal arrangements for in-person meetings.
- Assist Facilities Manager and serve as staff resource with repair orders, office moves, acquiring new and disposing of old furnishings, and upkeep as needed or requested. Also, assist with onsite storage maintenance and upkeep. Work with vendors to direct completion of requests and maintenance needs.
- Assist in planning employee staff events.
- Other job duties as assigned.
MINIMUM QUALIFICATIONS
- EDUCATION - High School diploma required.
- EXPERIENCE – At least 2 years’ experience in customer service, human resources, administrative assistant, or receptionist experience required.
- EQUIVALENCY - None
- CERTIFICATION(S) – None
- SKILLS- Organizational skills and attention to detail required. Proficient with Microsoft office suite. Excellent communication skills, both written and verbal. Ability to be resourceful and proactive in dealing with issues that may arise. Ability to perform general clerical duties as required.
