Job Summary

The Human Resources Assistant in Data Operations performs a variety of tasks, including, but not limited to: answering phones, monitoring HRFE transactions, confirming employment verifications, reviewing and processing unemployment claims, incoming mail, tuition waivers, loan default forms and loan forgiveness forms for Data Operations.

Duties & Responsibilities

  • HR Front End inbox, Banner, and Phones
    o Monitors the Illinois HR Records and Appointment Processing inbox, sending transactions to the appropriate staff in the building.
    o Answers phone line and provides general information.
    o Provides assistance to units with technical issues: Completion of UI New Hire forms, resetting passwords, HRFE questions and/or issues, transaction request for return or deletion.
    o Provides support by assisting units with missing education options in UI New Hire and Published Professional Names.
    o Maintains leave information in Banner for terminated employees, zeroing sick leave balances when appropriate
  • Retrieves information for former employment requests, including requests from out of state retirement systems and subpoenas.
    o Prepares the verification to be returned to the person/company requesting the verification
  • Vacation/Sick Leave Adjustments in PEALEAV (ANA’s)
    o Accesses PHICHEK to look up pay period, ensures correct pay period is being used, determines the purpose of the adjustment (from ANA) and corrects accruals if necessary.
    o Processes the needed adjustments and indicates action(s) taken in PEALEAV.
  • Review and process employment verifications, educational loan default statements, tuition waivers and updates temporary upgrade calendars.
    o Serve as liaison with outside agencies and vendors for employment verification for former employees and where non-standard information is required for employment verification for current employees. (i.e. Loan Forgiveness applications)
    o Confirms accuracy of loan defaults following the Illinois Public Act 85-827.
    o Review, process and assist with all employee and child of employee tuition waivers.
    o Temporary upgrade calendars are updated on a bi-weekly basis via reports.
  • Unemployment Claims
    o Enters information into unemployment portal and works on quarterly BEN118 IDES unemployment report – checks all names on the report, reconciles all names to determine that we have received all the information to show we should be charge, if not types up information on the appeal form with the correct code, does cover letter and copies all back-up.
    o Schedules/attends unemployment hearings
  • Patient Protection Affordable Care Act (PPACA)
    o Provides resolution for employee entry issues related to invalid address and social security numbers.
  • Other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent.
  • Any one or any combination totaling one (1) year (12 months) from the following categories below:
    • course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
    • work experience performing basic human resource/payroll or general office support duties.

Knowledge, Skills and Abilities

  • 1. Position requires a thorough working knowledge of payroll guidelines.
  • 2. Must have extensive knowledge of related systems such as HR Front End, Banner, Adjustment Notification Application (ANA) and PARIS.
  • 3. An understanding of procedures for maintaining records and filing systems.
  • 4. Familiarity with Word, Excel, and Access helpful.
  • 5. Requires attention to detail, good judgement, discretion, and confidentiality.
  • 6. Must be able to provide a high level of customer service.
  • 7. Requires good verbal and phone skills.

Appointment Information

This is a 100% full-time Civil Service 2134 - Human Resource Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/14/2023. Salary is commensurate with experience.
