Position/Title: Administrative Assistant to the Chief Human Resources Officer


Major Job Function: To assist the CHRO in the task of providing leadership in developing, achieving and maintaining the best possible educational programs and services for our staff. Pursued candidates will have skills to plan and improve personnel functions of recruiting, hiring, training, retention of staff, policies and procedures. The candidate will support positive community relations, information management, personnel practices, fiscal planning, scheduling/orientation, and maintain records and information.


Reports To/Evaluated By: Chief Human Resources Officer

Supports: Human Resources programs

FLSA status: Non-exempt


Knowledge, Skills, Abilities Required:

  • General knowledge of federal, state and local rules and regulations affecting Title II-A and Title IX
  • Knowledge of effective practices for word processing and electronic program operations.
  • Ability to establish and assist with the implementation of long-range plans, program goals and objectives.
  • Ability to relate positively with the community, parents, and schools.
  • Ability to create, organize, and maintain reports and file documents (hardcopy and electronic) with accurate information
  • Ability to meet deadlines with high quality work.
  • Ability to work as a team with district/school leaders to support processes.
  • Ability to create and work with materials that require intricate details.
  • Ability to communicate effectively (oral & written).
  • Ability to maintain confidentiality


Essential Duties:

  • Assists with the recruitment and hiring of a workforce at all levels of the organization
  • Assists with the hiring process for all certificated and/or classified district employees,
  • Supports the preparation and/or complete in an accurate and timely manner state and federal reports for the purpose of compliance
  • Supports the referral and cooperative planning with other agencies, both local and state, that provide services to children.
  • Assists with District Title IX Officer duties
  • Prepares documents for monthly Board of Education personnel report
  • Displays the highest ethical and professional behavior in working with students, parents, school personnel, and outside agencies associated with the school
  • Protects confidentiality of records and information about staff, and use discretion when sharing any such information within legal confines.
  • Participates in regional and national human resources organizations
  • Communicates to the Chief Finance Officer and other program leaders as required ensuring the needs of the district are met
  • All other duties and responsibilities as assigned


Human Resources Assistant

  • Assist with the preparation and organization of the Title II-A and Title IX program.
  • Collection of data from administration and other sources to determine district needs and the completion of reports
  • Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies; organize and arrange meetings/calendar
  • Assist with the payroll related processes collection of evaluations, continuing education credits, and employment verification material.
  • Conduct research and submits employee data reports by assembling, preparing, and analyzing data.
  • Maintains quality service, employee confidence, and protects operations by keeping human resource information confidential.
  • Maintains professional knowledge by attending educational workshops; reviewing publications.
  • Contributes to team effort by accomplishing related tasks as required.
  • Ensure reimbursements and inventories are processed timely.
  • Enter POs and follow the payment process to completion
  • Maintain accurate financial records of HR accounts and programs

Hiring

  • Assist with set up for recruiting and retention of teachers
  • Updates and creates forms as required by job needs
  • Works with principals to ensure hiring processes are fully completed

Program Updates

  • Maintains employee information by entering and updating employment and status-change data n Powerschool Records, etc.
  • Ensure human resources systems are current


Substitute Staff

  • Facilitate the collection and maintenance of substitute staffing records and contact information and training
  • Update/create substitute listing in personnel programs
  • Assist unskilled laborers with application entry or orientation to services

Workman’s compensation

  • Facilitate the collection and maintenance of workman’s compensation claims and records
  • Attend training as required to stay up to date on latest updates to laws and procedures
  • Collaborate with school level staff to ensure procedures and required documentation is obtained
