Position Summary
Assumes the responsibilities of organizing and managing resources for teaching/learning and activities to support the Department of Occupational Therapy's educational mission. The coordinator oversees all purchasing related to skills lab supplies and equipment and keeps accurate inventory and maintenance records for these resources. The coordinator reports to the Occupational Therapy Program Administrator.
Responsibilities
- Oversee the general set-up, maintenance, cleanliness, and security of the Occupational Therapy Skills Labs and lab equipment. Ensure that all supplies and equipment are labeled and stored in an organized fashion.
- Facilitate faculty and student use of labs (room reservations) and all instruction resources (assessments) to meet teaching and learning needs.
- Maintain assessment and room reservation systems. Post notices and updates to Moodle with instructions for students on how to reserve assessments and rooms.
- Coordinate scheduling and communicating of open lab hours that accommodate students schedules.
- Reserve DUC classrooms, labs and meeting spaces for faculty and students.
- Proctor exams based on faculty needs for students with accommodations. Ensure that the Accessibility and Disability Services Office was contacted first and has declined due to full schedule.
- Supervise student workers when working on lab affiliated tasks, in collaboration with Program Administrator and faculty.
- Communicate regularly via email to keep faculty informed of changes or newly available equipment, books, or online teaching resources.
- Serve as liaison to the School of HNS Clinical Simulation Service and collaborate with the Director of CSS Services to support and supervise, as necessary, student use of sim labs and the preparation of labs for skills checks.
- Manage the sim lab videotaping of skills checks for faculty and student review.
- Regularly survey faculty and students to assess their needs for equipment, supplies, software, and other material to support learning.
- Coordinate development and dissemination of information about learning resources to enhance teaching and learning.
- Participate in long-range planning, development, and evaluation of learning resources.
- Collaborate with Program Administrator and Department Chair to create policies and procedures related to instructional resources for department approval.
- Submit purchase requests to the Department Chair for needed new instructional supplies, and for items needing repair or replacement.
- Repair, or arrange for repair or replacement, of broken equipment.
- Locate appropriate sources for needed instructional supplies/equipment/repair services; establish positive relations with vendors; negotiate optimal contracts and prices. Maintain log of vendors and their related supplies/equipment.
- Order textbooks for DUC bookstore and book desk copies for faculty as requested.
- Maintain record of course textbook requirements each semester and submit textbook orders to DUC bookstore in a timely manner.
- Purchase approved lab and office items using procurement card (p-card) whenever possible. Manage all aspects related to the p-card, including coding invoices, tracking orders, and submitting p-card expenses through the online procurement system.
- Maintain accurate inventories of supplies and materials in electronic documents.
- Maintain records of all purchases and merchandise received.
- Maintain copy equipment and supplies and arrange for repairs and maintenance when needed.
- Track lab expenses and notify Program Administrator and Chair (and Business Services if needed) of any inaccuracies.
- Serve on Media & Communications committee and maintain OT department website content, with input from the Media & Communications committee and under the direction of Chair.
- Maintain student contact list, student photo consent list.
- Ensure all instructional related documents are filed on the department server.
- Assist students with events for student organizations including setup and clean up. Assist Program Administrator with OT department events.
- Prepare labs for the start of semester and organize at the end of semester.
- Perform other duties as assigned.
Required Qualifications
- Bachelors degree from a four-year college or university or the equivalent combination of education and experience
- Two years work experience in an office or health care setting
- Detail oriented, with the ability to organize a variety of materials in an efficient manner
- Ability to communicate effectively, engage in creative problem solving, and work cooperatively with students, faculty and staff
- Aptitude for customer service; able to respond positively and promptly to all requests
- Ability to effectively prioritize, organize time and resources, and supervise others in the completion of multiple tasks
- Proficient in Google Suite, Microsoft Office, or other relevant software. Must be able to perform basic calculations.
- Ability to lift 25 lbs.
Preferred Qualifications
- Degree in a healthcare related field
- Prior experience as a laboratory coordinator/assistant
- Knowledgeable about occupational therapy or other allied health professions
- Knowledge of adaptive tools and medical equipment
