Provides logistical support for the Bureau of Western Hemisphere Affairs General Service Office (WHA/GSO).
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes the following:

  • Assist with procuring non-expendable supplies for the bureau using multiple sources, through Ariba, GSA. Conduct quality inspections of incoming equipment and supply shipments for accuracy and rectify any order discrepancies with the vendor. Manage and maintain the in-office supply room by replenishing office supplies, fulfilling supply requests, and maintaining an organized supply room on a weekly basis.
  • Assess, transport, and deliver, accountable and non-accountable assets to and from warehouse in coordination with labor services. Directing laborers, ensuing equipment is safely handled and transported using the appropriate mechanisms
  • Collect, transport and dispose, weekly classified waste for the bureau by way of disintegration.
  • Oversee the bureau’s inventory for WHA domestic DC, and Ft. Lauderdale (FRC). Conducting spot checks, using the loanable property module to update, managing reconciling and execute the annual inventory for the bureau. Scanning inventory equipment by location, researching prior year documents looking for missing property, using location and disposal reports
  • Provide logistical support for space planning, office moves, renovation projects, relocations, and space cleaning and or repairs. Coordinating site visits with Diplomatic Security (DS), Telephone Wireless Data (TWD), and various contractors using specialized knowledge to effectively communicate the needs of the project tasks. Meet with government officials to review and analyze project requests and provide potential options within reason while assessing the budget.
  • Serve as the administrator for the Departments Travel Management System (E2 Solutions) for all authorization and vouchering requests. Knowledge of the preparation process, completing vendor forms for new users, and change of duty location procedures.
  • Serve as point of contact for Reserve!t conference system on behalf of the bureau. Maintain and update incoming requests and service tickets. Evaluating services required for meeting spaces, preforming as conduit between IT access to WHA conference rooms.
  • Manage the bureau’s parking program. Update and maintain a central parking spreadsheet for 80 WHA parking permits. Evaluate parking justifications to determine validity of the request, answering inquires via phone or email and making recommendations for approval or denial of permits based on internal policy. Serves as the center piece between the parking office and WHA staff, providing guidance and circulating communication to permit holders when appropriate. Follow through on non- payment requests, revoking and issuing passes when necessary.
  • Oversee all logistical requests for the Bureau’s Front Office (Assistant Secretary, Principle/Deputy Assistant Secretary, Deputy Assistant Secretary). This includes, vehicles, IT equipment, supplies, labor, lock requests, office movement, reconfiguration/remodels, mobile devices. Ensures the FO has all the requirements for UN General Assembly and Foreign Ministerial Dialogs. Coordinate and liaison, with IRM, Diplomatic Security, Bureau of Administration (Facilities, Labor/lock, Real Property Management). Work with WHA/Financial Management section for funding of services prior to requesting services from internal partners.
  • Serve as liaison for Global Chief of Mission Conference (COM); manage all logistical requests for the Bureau during Global/Chief of Mission. Coordinate and liaise with the Department’s internal partners (Motor Pool, IRM, DS).
  • Performs other job-related duties as assigned.

EDUCATON AND EXPERIENCE
3 years of related experience.
KNOWLEDGE, SKILLS AND ABILITIES

  • Active Secret Clearance level
  • Minimum of 3 years of related work experience
  • English language (written and spoken)
  • Well versed in Microsoft 365 products (Word, Excel, Powerpoint, Outlook, Teams)
  • Analytical and problem-solving skills with the ability to handle rapidly changing schedules and shifting work priorities.
  • Ability to critically think and work in a group or independently.
  • Capable of learning new systems quickly and produce significant results. Proficient in qualitative and quantitative research methods.
  • Ability to manage multiple tasks, coordinate activities in multiple locations, act decisively in daily work, while meeting deadlines.
  • Strong organizational, communication, interpersonal skills.
  • Anility to work independently to assess priorities and manage daily coordination of details with minimal supervision.
  • Ability to lift packages up to 70 pounds.
  • Successfully pass a federal background check and a drug screen
  • Cherokee Federal employees are included as covered employees in U.S. Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.

Estimated Starting Salary Range: $92,421
CNSS offers discretionary annual incentive pay based upon performance that is commensurate with the level of the position.
