Position Overview: The Medical Assistant, as part of the clinical support team, is responsible for rooming patients, taking and reporting patient vital signs, performing appropriate testing procedures, providing documentation and maintaining patient medical information. The Medical Assistant works in collaboration with all departments to promote accuracy, efficiency, and compassion in the process of patient care.

The Medical Assistant also provides as a back up to a Medical Receptionist if coverage is needed not to exceed more than 10% Medical Receptionist duties in a 1 month time. The Medical Assistant will oversee the front desk when coverage is needed and is responsible for answering and directing phone calls, registering and scheduling patients, and maintaining patient medical information. The Medical Assistant works in collaboration with NDBC providers and billing representatives to enforce NDBC policies and to promote accuracy, efficiency, and compassion in the process of patient care.

Hours: Hourly Monday through Friday (at this time no weekend shifts, could be added in the future), at least 32 hours/week. Punctuality and good attendance are essential. Monthly schedules are assigned at least 6 weeks in advance, and are based on clinic need. Should clinic need arise, NDBC may require a temporary decrease in hours or coverage at another clinic. Employment status, seniority, distance and preference may be taken into consideration. Overtime, paid time off, and other schedule deviations to be approved by department manager.

Typical Physical Demands: May require prolonged sitting and standing, and occasional balancing, bending, crouching or kneeling, reaching, stretching, and pushing or pulling. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard and other office equipment, as well as medical and audiology department testing equipment and supplies. Requires normal range of hearing and eye sight to record, prepare and communicate appropriately. May require lifting up to 50 pounds occasionally. Ability to guard patients against loss of balance both with and without gait belt, and transfer patients from sit to stand, stand to sit, supine to sit, and sit to supine.

Articulate the mission / vision, and the importance to the organization. Support the values, goals and objectives of NDBC.

Medical Department (Medical Assistant Duties)

Warmly greet and room patients. Take blood pressure, pulse, height, weight and BMI for all new patients, and document in appropriate EMR report.

Interview patient to establish accurate and complete health information according to appropriate EMR report, and document health information. Ask patient for clarification if needed. Alert physician to high blood pressure, other acute health concerns, and any special patient needs or requests.

Promptly attend to phone calls and messages. Document patient contact in appropriate EMR report.

At Initial Evaluation, explain any and all testing and evaluation services that are requested by NDBC physician. Provide appropriate handouts, review applicable restrictions, and answer patient questions. Provide patient with visit summary, appropriate brochures and handouts.

At Report of Findings, provide appropriate handout and explain NDBC Hearing Aid and Tinnitus services for patients with symmetrical, sensorineural hearing loss noted in neurotology report. Provide patient with visit summary, and complete outbound referral as appropriate.

Verify pending EMR documents for physician to review. Send physician reports, prescription orders, and outbound referrals within 2 clinic days. Document in appropriate spreadsheet.

Request records and send NDBC reports, as requested (i.e. patient, continuation of care, insurance claim etc.). Document in appropriate spreadsheet.

Promptly complete Records Requests (i.e. attorney, auto, worker’s compensation, SSA and disability, etc.) with a signed Release of Information on file. Document Records Requests in appropriate spreadsheet.

Perform monthly case management with Administrative Director, updating appropriate spreadsheet with patient status (i.e. current, on hold, or discharge). Contact appropriate patients to schedule. Complete discharge reports, as needed, and close chart.

Maintain proper inventory of medical and audiology supplies, and report needed supplies under Monthly Supply Order each month.

Provide additional front office support to Clinic Coordinators (medical receptionists).
Maintain strict confidentiality, in accordance with HIPPA guidelines.

Adhere to safety and security rules, in accordance with OSHA guidelines.

Other duties as assigned.

Requirements:

Knowledge of medical department and audiology department policies and procedures.

Knowledge of clinical background, and clinical pathways and protocols.

Knowledge of administration department and business office procedures.

Accurate attention to detail, with efficient use of clinical and paperwork time.

Skilled in operating clinical and office equipment; computer proficient.

Confidentiality

Qualifications:

Two years of medical office experience preferred.

One year experience using practice management system preferred.

Ability to demonstrate independent judgment and initiative appropriately.

Strong communication and problem solving skills.

Strong organizational skills and ability to prioritize appropriately.

Knowledge of medical terminology preferred.
