MEDICAL STAFF OFFICE SPECIALIST Job at Oneida Health
POSITION SUMMARY:
The Medical Staff Office Specialist is responsible for performing functions related to physician and allied health professional credentialing and reappointment, meeting management, scheduling of rotations for health professions students, and flow of information from medical staff committees through the Medical Executive Committee. Assists with Joint Commission Survey preparation for the medical staff/leadership function and works closely with medical staff leaders and hospital administration with regard to medical staff and bylaws issues. Maintains the medical staff lounge and mailroom. Reports to the Medical Staff Coordinator, and through the Coordinator to the Vice President for Medical Affairs.
POSITION SPECIFIC PERFORMANCE STANDARDS:
- Processes all Medical Staff and Affiliate Staff credentialing and reappointment applications in accordance with Medical Staff Bylaws, Rules and Regulations, Joint Commission standards, and State and Federal law
- Maintains knowledge of standards of the Joint Commission and State and Federal regulations related to Medical Staff organizations
- Maintains working knowledge of the Medical Staff Bylaws, Rules and Regulations, and hospital policies, and works to ensure the Medical Staff’s compliance with regulations and laws
- Ensures that Medical Staff and Affiliate Staff confidential credentials files are entered, maintained, and updated in the credentialing software database
- Maintains open communication with the Medical Staff, hospital administration and various departments, and practitioner office staffs. Identifies and works to resolve problems as they arise.
- Ensures that all necessary paperwork is received and processed prior to students performing rotations with members of the Medical Staff and assists in scheduling these rotations
- Attends Medical Staff meetings. Assists with agenda and materials preparation and meeting notifications. Records minutes at clinical department and Medical Staff committee meetings. Provides supportive services to Medical Staff leaders in fulfilling the responsibilities of their offices
- Exhibits a high degree of responsibility for confidential matters.
- Works with the Medical Staff Coordinator to develop departmental policies and procedures
- Assumes other related responsibilities as required

QUALIFICATIONS:
Education: A degree in a business or health care field, is highly desired
Experience: Previous experience in a Medical Staff Services administrative position is required.
Licensure: CPMSM and/or CPCS Certification by the National Association Medical Staff Services (NAMSS) is also desired but not required Affiliation with NAMSS and the New York State Association of Medical Staff Services (NYSAMSS) is strongly encouraged.
