PRIMARY FUNCTION:
Under the supervision of the Branch Director, the Member Services Coordinator is responsible for assuring accurate record keeping of attendance and membership information, accurate handling of cash transactions, and greeting members and the public in a positive manner.
KEY ROLES (Essential Job Responsibilities):
Administration
· Maintain accurate daily records of membership and attendance information utilizing member tracking technology
· Administer intake of membership application and all other documents relative to membership intake process
· Answer telephone and greet members and the general public in a pleasant and polite manner
· Ensure that all visitors and volunteers sign in and are properly identified with ID badges
· Allow only authorized Club personnel behind the front desk
· Collect payments for all programs and drop any cash or checks in the safe and give all credit card receipts to the Director of Finance & Administration
· Perform other job-related assignments as instructed by the Branch Director
· Maintains proper documentation of club members including tracking priority outcomes, duration and frequency of attendance, incidents, etc
· Maintains proper documentation of club members for grant purposes
· Oversee supplies and equipment (request additional supplies when needed, request equipment maintenance when needed)
Marketing & Public Relations
· Increase visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information for the development of advertising and promotion through mailings, fliers and media releases
ADDITIONAL RESPONSIBILITIES:
· Participates in special programs, events and other projects as directed by the Branch Director or administration
· May be required to drive Club van periodically
· May consult with parents concerning member issues
RELATIONSHIPS
Internal: Maintains close contact with Club staff, volunteers, Club members, and Club parents.
External: Maintain contact as needed with external community groups, schools, member's parents and other to assist in resolving problems.
SKILLS/KNOWLEDGE PREFERRED:
· A high school diploma or the equivalent
· Display a pleasant personality
· Strong verbal and written communication skills
· Ability to effectively use phone systems and computer communication systems are essential.
· Strong time management and project prioritization skills
· Thorough knowledge of computer technology, particularly Member Tracking System software
· Posses strong organizational skills
· Bilingual a plus
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
· The person in this position must be able to sit, stand, bend, stoop, lift and walk 75% of the time.
· Frequently communicates with children and parents who have inquiries about the Boys & Girls Club of Pasadena. Must be able to exchange accurate information in these situations.
· Occasionally operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
· Occasionally ascends/descends a ladder
· Occasionally moves equipment weighing up to 50 pounds
