Office Administrator's Job Purpose: Serves by warmly greeting, welcoming, and directing all visitors appropriately; notifies appropriate personnel of visitor arrival; maintains security and telecommunications system. Assists Office Manager with calendar tasks, answering phones and emails, and other filing and administrative tasks. Data entry support using Microsoft Excel, QuickBooks, and Drake Tax. Assist’s the manager with invoicing and billing and provides clerical assistance to facilitate managerial function along with other duties.
Office Admin's Other Job Duties (a non-all inclusive list):
· Make and receive calls;
· Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
· Directs visitors
· Understands, maintains and enforces office security by following procedures; monitoring and maintaining logbooks; and ensuring team is aware and complies with office security protocols;
· Maintains safe and clean reception area by complying with procedures, rules, and regulations.
· Ensures employees are following confidentiality standards and other regulations that govern this firm;
· Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
· Contributes to team effort by accomplishing related results as needed, such as performing the following duties:
o Time stamps source documents received by office;
o Scanning in client source documents;
o Interviewing and confirming with client their source documents;
o Scheduling client and owner appointments;
o Making copies of documents received by office;
o Sorts and files documents;
o Monitors office supplies and alerts manager when orders need to take place;
o STRONG NOTE TAKING!
o STRONG LISTENER!
o Etc.

Pay: $17.00 - $20.00 per hour
