Office Manager

Well established Lawn & Landscaping company is seeking an office administrator position to be filled by the right candidate. This is a small business setting where you will be working for a company who has been in business for 20 plus years. The idea candidate will have proper experience in the field as well as office experience with small businesses, and or service businesses.

Office Administrator Job Responsibilities:

  • Supports company operations by maintaining office systems and supporting all staff.
  • Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, and assigning and monitoring clerical functions.
  • Handling and managing phone calls; Answering customer service inquiries and returning phone calls.
  • Direct contact with customers daily, including entering new leads to the CRM System, working with current customers on billing issues, handling and documenting customer relations. Oversees telephone services, email correspondence, and mail distribution.
  • Closing out daily jobs and schedules in a CRM System, as well as communicating with staff as to daily operations.
  • Oversee and achieve organizational goals while maintaining an efficient, productive, and positive office culture and employee experience.
  • Responsible for invoicing of the company as well as receivables of the company.
  • File Management (complete from start to finish)
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees and following up on work results.
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
  • Achieves financial objectives by preparing weekly and monthly budgets, scheduling expenditures, analyzing variances, and initiating corrective actions.

Office Administrator Qualifications / Skills:

  • Managing processes
  • Proficient with Microsoft Office, Outlook
  • Ability to learn a web-based CRM system.
  • Tracking budget expenses
  • Vast Data Entry
  • Vast knowledge of digital communications
  • Informing others
  • Strong Time Management and Multitasking skills
  • Ability to maintain confidentiality of company information.

Education, Experience, and Licensing Requirements:

  • High school diploma, (Some Higher Education Preferred)
  • Two to three years’ experience in an office setting
  • Service industry experience preferred but not necessary.
  • Small Business experience perferred
  • Proficient with Microsoft Office software and phone systems
  • Experience with Invoicing and Receivables
  • Exceptional customer-service skills and effective communication both verbal and written.
  • Ability to work with minimal supervision.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour

  • Microsoft Office: 1 year (Preferred)
  • Administrative experience: 2 years (Preferred)
