Division of Mining and Reclamation; Inspection and Enforcement

Employee will be assigned to the Division of Mining and Reclamation, Inspection and Enforcement section.
Under general supervision will perform clerical duties and general office duties for two supervisors, two specialists and nine inspectors, including data entry of complaints, drafting and typing detailed and complex correspondence, email, and other documents of a complicated nature involving interpretation, procedures, policies and practices.
Employee will process all requests for inactive status for both units; log in, assign for review, and track pre-subsidence surveys for both units. Employee should understand the Environmental Resources Information System (ERIS) to enter, inquire, and retrieve information periodically the employee will serve as the receptionist answering a multi-line telephone, take calls for staff, take messages and complaints, convey information to callers when possible.
Employee will greet visitors, be responsible for visitors signing in, and direct visitors to employees they wish to see. Will perform routine clerical tasks such as receiving, sorting, and distributing incoming mail, send outgoing mail and packages, maintain visitors' passes and logbook, send and receive facsimiles, run automated postage machine and the related reports, and operate other office equipment to include but not limited to computers, typewriters, copiers, fax machines, etc.
Employee will help maintain file room, process, sort and file documents according to predetermined classification criteria, locate files for visitors and make appropriate copies, review files for data and collect information. Employee will work in the permitting section as needed and will maintain Surface Mine Application (SMA) files, retrieve and file SMA applications, enter application records and data in the ERIS database, provide information to the public, mining companies, federal agencies, and other state agencies concerning permit applications, assist permit review team members in preparing applications for approval and conducting consistency checks on applications.
Employee will perform other related duties as required or assigned.
Ideal employee will possess effective written and oral communication skills. Must have the ability to establish and maintain effective working relationships with the general public, supervisors, co-workers and staff.
Note: Regular attendance is an essential part of this position.

Minimum Qualifications
Training: Graduation from a standard high school or the equivalent.
Experience: Four (4) years of full-time or equivalent part-time paid experience performing routine office work.
Substitution: College hours, related business school, or vocational training may be substituted through an established formula for the required experience.
