Overview:
Provides administrative, secretarial and clerical duties by performing the following duties personally. Responsible for ensuring that all critical tasks are fulfilled on a timely basis.
Responsibilities:
- Maintains accurate knowledge of all services provided by the individual department employed within as well as all policies and procedures of the department.
- Takes all steps necessary to ensure fully accurate record keeping on all subjects that the employee holds responsibility for.
- Communicates verbally, electronically and in writing in a clear and timely matter with all affected parties on the subjects for which the position holder has responsibility.
- Maintains high productivity and completes tasks as quickly as required by the employee’s supervisor.
- Performs clerical duties such as answering telephone, taking messages, receiving and distributing mail and electronic correspondence, record keeping, completing and submitting documents, etc.
- Performs key record keeping data maintenance and submissions as may be required by regulatory agencies, licensing authorities and commissions on a timely and fully accurate basis as directed by supervisor.
- Orders office and administrative supplies while ensuring that all department office locations have available all required supplies.
- Performs accurate and timely payroll entries while ensuring that error-free payroll is processed without delay. Ensures that false or mistaken payroll entries do not occur.
- Reviews and processes vendor invoices on a timely and accurate basis while always ensuring that improper billing and/or payment does not occur.
- Maintains budgetary records on an accurately updated basis and distributes such records upon the request of supervisor.
- Coordinates management staff calendars and arranges for meetings and events when requested to do so.
- Creates meeting agenda on request while taking all steps necessary to minimize excess and/or non-productive meeting time to ensure that staff time is externally focused upon patient needs and response rather than internally focused upon lengthy and/or unnecessary discussions.
- Provides timely documentation in accordance with all regulatory requirements when requested.
- Performs other critical tasks as directed by supervisor related to the specific departmental or clinical environment the employee is employed within.
- Makes travel arrangements according to enterprise policies when requested to do so.
- Does not perform supervisory responsibilities or have oversight of other employees.
- Demonstrates ability to regularly change priorities to accomplish all tasks despite frequent interruptions.
- Performs other special projects and duties as assigned.
- High School Diploma or GED required.
- 1 year of administrative or clerical experience preferred, preferably within the medical services environment.
- Demonstrates ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures and community health services.
