Job Summary
Under direct supervision, the Operations Assistant performs all functions of the position including operation of all equipment, computers and computer programs, and responds to customer inquiries/questions. The Operations Assistant functions as a member of a team that is fully cross-trained to provide flexibility in task assignment.
Minimum Qualifications

Job Duties
Receive, validate and log incoming mail and packages into the Package Tracking System from various suppliers including USPS, UPS, FedEx, DHL, etc. and record label information (i.e. fragile, heavy, damaged, and perishable). Verify the correct campus address and/or names on packages. Notify recipients via Package Tracking System email of package arrival.
In accordance with industry guidelines, Sort USPS mail by mailstop and organize packages received by building and department. Clearly label and sort in preparation for campus delivery.
Inspect vehicle(s) daily using checklist to ensure vehicles are in a safe and operable condition. Check fuel supply, brakes, signal lights; report evidence of faulty equipment or operation to supervisor immediately. Submit vehicle maintenance sheets to supervisor on a daily basis.
Pick up and deliver packages daily to various Rensselaer locations on and off campus, keeping to scheduled delivery and pick up times and in compliance with campus travel restrictions. Deliver packages to the assigned location only. Pick up supplies from assigned location only. Obtain signatures on handheld device for accountability and update handheld device to Package Tracking System in real time throughout the day.
Pick up inter-office and outgoing mail from campus locations and sort per protocol. Operate mail equipment to process outgoing mail (bulk, flats, letters, and packages). Process international mail using appropriate software programs and correct customs forms. Enter charges into accounting program using the correct FOAPAL information when necessary. Sort inter-campus and outgoing mail according to classification: stamped, bulk, metered, international, domestic, and campus.
Deliver outgoing accountable mail and packages (mail and packages with tracking numbers) to U.S. Post Office. Request postage reimbursement and pick up supplies when necessary. Deliver first class mail to loading dock area of post office and/or bulk mailing with appropriate form.
Process all packages with insufficient addresses at the completion of each business day, making every attempt to locate a person with improper address before packages is processed as “return to sender”. Properly dispose of materials and sort for recycling. Obtain supervisory approval prior to final processing.
Respond to customer inquiries verbally and in writing; provide assistance and information on the delivery status and/or location of packages.
Promote safe and secure working conditions. This involves promoting the proper utilization and maintenance of equipment and materials, and notifying supervisor immediately of any unsafe working conditions.
Perform other duties as assigned.
