REACH Mission and Values
The REACH Program of Evergreen Treatment Services works with individuals experiencing homelessness and behavioral health conditions to help them achieve stability and improved quality of life. Through outreach, relationships, advocacy and bridging gaps, REACH focuses on reducing harm and supporting healing. REACH provides outreach-based care coordination, multidisciplinary clinical services, and support to access and maintain housing. All services are based in principles of harm reduction that offer respect and dignity to individuals moving through stages of change in their lives.

Job Summary
The Patient Account Representative (PAR) reports to the Patient Account Supervisor. Each PAR will be located at each clinic with one at South Sound and South King clinics, and two at the Seattle clinic. This position routinely checks eligibility, processes payments, and collection procedures each month. This position also supports day-to-day functions of certain accounting processes to ensure timely closing by importing clinic payments into our accounting software. The Patient Account Representative will support the entire ETS agency, including the Seattle site, REACH, South Sound Olympia and South King County Renton. The nature of this position is fast paced, involving regular interaction with employees, requiring exceptional multi-tasking and interpersonal skills. The PAR must demonstrate special attention to details, exceptional organization skills and the ability to meet deadlines.

Job Functions (May Include)

Daily Functions:

  • Assist new patients with finding and setting up a Medicaid, Medicare, private insurance, or alternative coverage for services rendered.
  • Enter New Admit financial intake information into SAMMS. Making sure all information is enter into our EMR system is correct
  • Process any clients discharges to remove patient coverage and assess any write offs necessary.

Weekly Functions:

  • Process courtesy dosing claims and payments received.
  • Setup patient holds for patient AR collections.
  • Batch Eligibility correction

Monthly Functions:

  • Update patient low-income verification form (SEA and SKC clinic only)
  • Check patient eligibility for patients who have lost their coverage.
  • Review and renew patient authorizations for Kaiser Permanente insurance and Molina Market place insurance
  • Review and renew patient authorization for United Health insurance (commercial and Medicare Advantage plan)
  • Review patient chart balances for accuracy and collections processing and update client’s payment plan if necessary, with Supervisor
  • Review private insurance coverage is still accurate for any changes in coverage. Benefit form is to be filled out, contact clients to go over their coverage, collect any co-ins/co-pay/deductible if needed. Upload benefit form into the “FORM” tab in Samms( EMR system)
  • Send or put hold on clients to come pick up their Patient Statement

Miscellaneous Functions:

  • Sign off on whether the patient’s balance is in good standing before approving whether a patient can receive carries/take home doses.
  • Setup patients with large balances on payment plans.
  • Process sliding scale applications for client’s that need the help with their balance
  • Any other issues that our client’s may need help with

Requirements:Education

  • High school diploma or equivalent required. Undergraduate degree preferred.

Experience

  • Minimum of two years of experience in professional office administration environment. Experience working in mission-driven non-profit organizations preferred.

Knowledge Requirements

  • Advanced organizational, analytical and critical thinking skills, including skill in creative and effective decision-making and problem identification / avoidance / resolution
  • Strong project management skills
  • Advanced written and interpersonal communication skills; ability to write and communicate clear, structured, and persuasive presentations using data to create strategic and compelling arguments
  • Computer literate, with advanced knowledge of Microsoft Office Suite, as well as a high level of initiative in keeping current with technological change. Quick learner to expand computer skills as needed.
  • Excellent organizational skills, with ability to prioritize workload, work independently, and complete tasks in a timely and efficient manner.
  • Highly detail oriented with a critical degree of accuracy
  • Dependable, able to work under pressure, receptive to change, willingness to learn, adaptive and cooperative approach to problem solving.
  • Ability to apply relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
  • Very strong skills in maintaining confidentiality and use of discretion when handling highly sensitive information.
  • Ability to establish and maintain effective working relationships with colleagues and outside contacts from a wide variety of ethnic, socioeconomic and cultural backgrounds
  • Willingness to give and accept direct feedback in order to effectively collaborate on projects and organizational initiatives.

  • Ability to oversee project teams including organizing, prioritizing, delegating and scheduling work assignments.
  • Possession of a valid Washington State Motor Vehicle Operator’s License (local travel on behalf of the Agency may be required) and acceptable driving record.
  • Must be able to pass a Washington State Patrol criminal background check
  • Must live in the Seattle area, primarily office-based

Language Skills

  • Ability to generate, read and interpret general business correspondence, policies and procedures, referral information, financial documentation and applicable government regulations.
  • Ability to write business letters, reports, instructions and procedures.
  • Ability to present information effectively and respond to questions from staff, collaborative partners and the general public.
  • Excellent verbal and written communication skills. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Mathematical Skills and Reasoning Ability

  • Thorough knowledge of and ability to apply business arithmetic skills accurately and rapidly; basic math skills required.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization may be limited. Ability to interpret a variety of instructions furnished in written, oral, schedule or diagram format.
  • Basic math skills.

Physical Requirements

  • The employee is regularly required to sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms and talk or hear; frequently required to stand, walk and kneel; occasionally to climb balance, or stoop; rarely to crouch or crawl.
  • The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close, color and peripheral vision and the ability to adjust focus. The noise level in the work environment is moderate.

Evergreen Treatment Services (ETS) is a mission-driven nonprofit organization specializing in substance use treatment and homeless outreach services. ETS has been serving the Puget Sound region going on 50 years. Our work is organized into two areas: Clinic Services and REACH.

Our Clinic Services team provides medication, counseling, and treatment to more than 3,000 people with substance use disorder at three clinics in Seattle, Renton, and Olympia, Washington. REACH provides street-based social services for more than 4,000 people living outside or unstably housed, many of whom have had interactions with the criminal legal system. Many ETS participants have endured trauma and harm from broken and oppressive institutional systems that are often the root cause of their substance use.
