Patient Care Coordinator Position


General Summary:

  • The Patient Care Coordinator position coordinates patient care in-person, manages the flow of the daily schedule and oversees the administrative tasks of the office.
  • The Patient Care Coordinator is an organized, self-motivated team player who will provide a welcoming atmosphere and the best possible care experience for our patients.

Patient Care Responsibilities

  • Greet every patient with a smile within 5 seconds of them entering the office
  • Verbally greet and check patient in, communicate anything that needs to be discussed prior to appointment such as credit card/new insurance etc.
  • Build relationships and maintain communication with patients in the waiting room to ensure they feel welcome. Ask about their day, weekend, holiday plans, weather, kids, sports etc. Avoid topics such as politics/current affairs/religion
  • Check patients out and ensure their next appointment is scheduled
  • Run all patient credit cards at the end of the shift
  • Answer phone calls throughout the day including scheduling/rescheduling/canceling patient visits, answering questions and providing excellent customer service
  • Complete insurance verifications for new patients
  • Organize and provide new patient intake information and explain benefits to new patients
  • Take patient payments over the phone
  • Refer patients to the billing department morgan@helixwa.com or

Administrative Responsibilities

  • Arrive 30 minutes before office hours
  • Check and answer voicemail/emails/communicate with billing team and supervisors
  • Review the daily collections sheet and patient schedule
    • Paperwork for authorizations
    • Paperwork for new patients
    • Write down charges to collect from each patient
    • Identify patients to collect credit card information from
  • Lead the daily morning huddle with doctors and rehab specialists for patient flow for the day and to address any issues that may exist with the schedule
  • Open mail: Pay bills, communicate necessary information to supervisor
  • Clean front desk and reception to ensure it looks presentable, fill water station, turn IPAD on (should be charged end of night)
  • Ensure all credit cards have been processed at the end of the shift for any patients who didn't pay at the time of check out
  • Ensure doctors enter charges/diagnosis at the end of every shift
  • Create and print collection sheet for the following day including patient schedule, authorization notes, charge notes, credit cards missing from file etc.
  • Oversee office operations such as ordering supplies
  • Water plants when necessary

Minimum Qualifications:

  • One (1) year of experience in an administrative/front desk role or equivalent
  • Some basic experience in the healthcare field preferred, comfortable with insurance
  • High School Diploma (Associate/Bachelor degree preferred)
  • Proficiency of basic computer software including Google Suite: email, docs, sheets, calendar, etc
  • Ability to learn and use new software programs specific to healthcare
  • Must be legally eligible to work in the United States

Unique Schedule:

Our office hours are unique to meet our patient's needs and our team's work-life balance. In order to be considered for this full time position, you will need to be available 30 minutes before and 30 minutes after our office hours. In addition to office hours, there are weekly meetings scheduled to enhance communication and collaboration with our amazing team.

Monday – 7:30AM to 6:30PM

Tuesday – 12:30PM to 6:30PM

Wednesday – 7:30AM to 2:30PM

Thursday – 12:30PM to 6:30PM

Friday – 7:30AM to 12:30PM
