Job Description
Based in Southern California with locations in Malibu, Calabasas and Camarillo; our client has been on the leading edge of technology, conducting pioneering research and advancing the state of the art.
FULL-TIME ONSITE
- Audits web based time sheets daily for exempt and hourly employees to ensure leave and time policies are followed daily.
- Processes weekly timecards ensuring compliance with both company policies and procedures as well as full local, state and federal guidelines.
- Imports and exports data between timekeeping, payroll and HRIS platforms ensuring complete and accurate data transfers.
- Coordinates and supports audits, both internal and external, as requested including PTO accruals and Year-to-Date Payroll and Timekeeping data.
- Assists employees, vendors and managers with time reporting. Researches and resolves questions related to timecards.
Processes time record adjustments.
- Maintains payroll records in accordance with Payroll Record Retention policy.
Maintains a filing system that ensures easy and efficient retrieval of information; follows appropriate retention guidelines.
- Prepares mail and inter office correspondence as needed.
- Ensures timekeeping and payroll documents received are accurate and complete
- Submits new hire information into accounting and timekeeping systems with high attention to detail.
- Enters updates to the timekeeping system for employee changes including but not limited to promotions, timesheet approver changes, and terminations.
- Maintains a strong working knowledge of all company timekeeping practices.
- Maintains a strong working knowledge of the timekeeping, accounting and HRIS systems used and participates in continuous improvements to the systems.
- Coordinates and schedules training to new employees and new timesheet approvers on timekeeping policies and procedures.
- Coordinates and tracks annual timekeeping training for all existing employees.
- Prepares time reports for payroll processing.
- Updates timekeeping policies and procedures as needed.
- Processes a high volume of documents accurately.
- Performs other duties as assigned.
QUALIFICATIONS
- 1-3 years relevant experience in accounting, payroll or related field.
- Bachelor’s Degree preferred; 4-year related experience may substitute in lieu of a Bachelor’s Degree.
- Ability to maintain focus and attention to detail.
- Ability to meet strict deadlines.
- Ability to maintain confidential information.
- Intermediate Excel skills including formulas and pivot tables.
- Proficient in Microsoft Word, Outlook and Adobe.
- Excellent communication skills and ability to maintain a pleasant and positive attitude, even in difficult situations. Tact and poise are essential.
- This position is on-site.
- Regular and prompt attendance is required.
- Ability to work schedule as defined, which may include holidays and overtime as required.
