Responsibilities
NIU Rockford functions as a University off-campus Regional Center providing classroom space and support for NIU courses during the evening and as a conference and event center. . Conference and social events are frequently scheduled during the evening and on Saturdays.
The primary role for this individual is support of the sales function led by the Rockford Outreach and Partnerships Manager, including customer relations, contract creation, and database management. When needed and feasible in relation to primary duties, this person will provide back-up support at the Front Desk and addressing client needs. . At the direction of the Rockford Outreach and Partnerships Manager, to whom this position will report, the individual will assist with a variety of projects related to NIU center and outreach initiatives.
The individual in this position will have a wide variety of responsibilities, which require reliability, initiative, good judgment, and independence, because they must be carried out with minimal supervision. This individual must have excellent computer skills including Word, Excel and Powerpoint. Training will be provided in a custom customer service management program and the individual must achieve a high level of proficiency in its use. This individual must be positive and outgoing, and should have excellent communication and interpersonal skills, as this position requires a high degree of interaction with a diverse population of external clients, university personnel and the general public. This individual will be customer-facing and must have a customer service orientation and problem-solving skills.
This is an extra help, 25-hour per week position. Hours can be flexible, but are generally within business hours during the business week. Flexibility is required as hours are subject to change based upon client needs and staff schedules. Some evening and Saturday will be required Business attire is required at all times.
Description of Duties:
70% Sales Support Services: Provide assistance to the Rockford Outreach and Partnerships Manager and serve as their primary back-up in their absence. This includes the following responsibilities:
· Handle client inquiries, check availability, book and detail meetings/events, generate contracts, post inquiries in USI, run weekly set up reports for staff meetings, give building site tours that highlight the benefits of NIU Conference Centers and communicate all information to the Rockford Outreach and Partnerships Manager.
· Produce or edit various documents, such as reports, correspondence and presentations
· Send out reminders for return of contracts and banquet event orders.
· Review end of event details to confirm information in software is correct, file includes signed contract and signed BEO and ready for the billing manager.
· Ability to prepare and type correspondence and reports
20 % General support for NIU-Rockford. Provide assistance to clients, students, and the general public. This includes the following responsibilities:
· Greet clients, staff front desk as needed. Answer phone inquiries, faxing and copying of client materials, billing/posting of these charges to client accounts.
· Update brochure racks and restock as needed.
· Provide answers to general academic questions and direct inquiries to the appropriate academic units.
· Act as liaison for clients and contact appropriate staffs when needs are brought to your attention.
10% Special Project Assistance: This includes the following responsibilities:
· Provide assistance with projects related to Conference Center Client Activity, as well as Sales and Marketing initiatives.
· Reports, sending and monitoring client evaluation surveys
· Provide assistance with promotions and social media, including submission of photos about events and staff for the Conference Center Facebook page, and promotional emails/newsletters
· Provide assistance as needed with other projects related to division initiatives
