Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Division of Life Science (DLS). This position reports to the Chair of the Department of Cell Biology and Neuroscience. The Program Coordinator will provide administrative support and is responsible for assisting in the daily operations and activities for the department including preparation and processing of personnel, payroll and visa paperwork.

- Coordinates workshops.
- Arranges and coordinates the design and logistics for meetings, seminars, and special events.
- Assists faculty and staff with research grants and academic support.
- Provides assistance to faculty and staff, which includes preparation of correspondence, scheduling appointments, and processing expense reports and purchase orders.
- Assists the Chair of CBN with administrative and academic tasks including confidential issues.
- Prioritizes work, resolves routine conflicts and issues, and prepares and implements administrative guidelines and procedures for unit.
- Creates informational materials.
- Provides general supporting research, analysis, and proposal data.
- Prepares, processes, and controls records, statistics, reports and documents; and/or performs some fiscal support functions.
- Completes other work consistent with a broad understanding of the mission, vision, role, and goals of CBN.
- Serves as liaison within and outside unit.
- Works under general supervision, within established work parameters, with few direct instructions.
- Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.
- Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
- Bachelor’s degree in a related field, or an equivalent combination of education and/or experience.
- A minimum of two years relevant experience in an administrative function, good communication skills, and computer literacy, specifically including Microsoft Office Suite and Adobe Acrobat.

- Must have knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.
- Must be able to work independently and multitask.

Preferred Qualifications
- Website content management software.
- Understanding and application of University policies including but not limited to Procurement, and Travel and Expense Reimbursement.
- Familiarity with Rutgers systems including but not limited to HCM, Procurement, and Visa requests.
Equipment Utilized
- PC/Mac, Printer/Copier, Fax, CANVAS, SAS faculty appointment request systems, SciQuest, and Oracle Cloud based applications.

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply.
