The ideal candidate will provide administrative support to the Health and Digital Management team, provide active client contract oversight and administration, financial budget management, interface with internal support departments, EOS program administration for the division, Monday.com administration, calendar management to meeting documentation and action item record keeping. A “can-do” attitude and initiative to learn are core requirements of this position, an openness and flexibility, which allows this member to fill the gaps for the Executive. For example, but not limited to, attending meetings as a proxy for the Executive, email and various correspondence, fielding and prioritizing messages, assisting with documentation, and filing for the Executive.
Job Responsibilities:
- Align projects with Health and Digital Division goals, construct detailed work plans, manage teams, achieve milestones, and communicate the results across an audience of key stakeholders.
- Own the final deliverable when expected.
- Coordination between various departments within a given project including the Health and Digital division,
- Serve as the liaison with all employees involved in a given project, including
- Keep a close watch on the budgets of each project and divisions, and tracking costs where applicable
- Responsible for project execution when delegated,administrative duties, tracking progression, showing timelines, organizing and scheduling meetings, and taking notes
- Application of critical thinking and problem-solving skillsto ensure project progress, escalating issues to management whenneeded. Involvement in the projectfrom the planning stages, tracking costs and project budget compliance managing the project’s lifecycle, project closure and follow up postproject to ensure continued consistency and stability
- Ability to provide accurate updates to Management at any given time along the project lifecycle and reporting to Management on the development and progress of the project
- Have in-depth knowledge of the project, from accounting to execution
- Being hands on, helping where needed
- Manage and administer the EOS program for the health division including maintenance and updates of L10 key tracker, identification of meeting, scorecard gaps, identify retraining opportunities and ensure regular auditing of L10’s are carried out by Health L1, L2 and L3 members. Plan and coordinate executive 5-5-5 meetings quarterly
- Build, and manage the budget for the division and interface with finance team on contracts, revenue, and cost.
- Manage and maintain management team schedule, appointments, travel arrangements and expense reports
- Record, transcribe, and distribute meetings minutes when required which may include maintenance of To-Do's in Traction Tools and updates to Monday.com specific boards
- Review operating practices and implement improvements where necessary
- Provide administrative assistance to management team
- Run the meetings, product presentations, documents, and financial models
- Review/maintenance and accountability for sales prospect, active client and vendor contracts, NDA’s and proposal.
- Find cost savings opportunities
Education Necessary for Position:
- Bachelor’s Degree
Experience & Skills Necessary for Position:
- 3+ Years’ Experience as Senior staff or C-Level Executive Assistant and/or Project Coordinator
- Knowledge of MS Office Suite
- Knowledge of standard office administrative practices and procedures
- Prior healthcare administration support and knowledge of US healthcare principles preferred
Work Environment:
- Work location - Corporate offices in Shelton, full time
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
