Advertised Job Summary
Under the general supervision of the Principal Investigator for externally funded projects, the Project Coordinator provides administrative support, which includes but is not limited to maintaining the financial database and filing system associated with the projects, processing expenditure paperwork to ensure compliance with all applicable USC policies and procedures, providing administrative support to the Co-PIs, handling all post-award account management tasks and assisting with pre-award support.
Job responsibilities include:
Post-Award Support: Responsible for post-award support including initiating all expenditure paperwork, including but not limited to procurement card transactions/allocations, payment requests, purchase requisitions, expense report reimbursements, new supplier registrations, journal entries, and sub-award payments. Maintain documentation and track all project expenditures on an internal database. Reconcile internal database with USC systems monthly for accuracy. Ensure all applicable USC policies and procedures are followed and coordinate with College and University offices as necessary (COE Grants & Contracts, Grants & Funds Management, Sponsored Awards Management, Purchasing Department, Accounts Payable, Supplier and Tax Management, Travel Office, Payroll Department, Office of General Counsel, Vehicle Management, etc.). Upon request of PI, initiate budget requests in the USC system as needed.
Human Resources / Payroll Support: Works in coordination with project PI/manager/Co-PIs and the College of Education Human Resources Department (COE HR) to track and manage current job descriptions and job postings and hiring processes and required approvals. Coordinates interviews, hiring and onboarding paperwork, and training on USC and internal project policies and procedures. Manages project’s HR and payroll actions including reappointments, time and effort reports, salary changes, separations, and account funding changes. Provides support to project staff on the use of the Time/Labor and Absence Management system and other personnel questions.
Pre-Award Support: Assists with PI/project on pre-award support including budget justification and proposal preparation. Coordinates and collects required documents including sub-award grantee and submits risk account requests for all projects. Proofs, formats, and uploads all required paperwork and proposals.
Provides support and orientation to project personnel related to processes such as travel reimbursement, procurement of supplies, and other related expenditures. Provides administrative support to all project personnel.

Minimum Qualifications
Bachelor’s degree and 4 years of related experience in business management, public administration, or administrative services or equivalency.
Preferred Qualifications
Experience with USC systems, including PeopleSoft Finance, the Finance Intranet, and People Soft HCM. Experience working with grant-funded projects.
Knowledge/Skills/Abilities
Excellent written and verbal communication; analytical thinking skills; high degree of accuracy; takes initiative when appropriate. Advanced knowledge and skills utilizing Microsoft Office applications, particularly Excel. Knowledge of or ability to learn USC policies and procedures. Knowledge of or ability to learn the use of cloud-based platforms and common social media platforms and content management systems. The employee must use their discretion in organizing their work, compiling confidential information, and submitting reports.
