ProTech Services Group is seeking a Project Coordinator for a permanent position in Memphis, TN for a large property management company.
Full-time, M-F, 8:00-5:00pm. Position is in-office.
JOB SUMMARY
The Renovations Project Coordinator will be responsible to provide technical and administrative support to the Renovations Team and manages limited scope projects as outlined in the list of duties and responsibilities for designated client construction operations, including direct supervision of the Assistant Project Coordinator, interaction with subcontractors, vendors, and other construction related personnel. Supporting them in planning, coordination, and execution of work, on time, within budget, attaining or exceeding profit goals, promoting and enhancing relationships.
They will report to the Capital Project Supervisor.
- Preparation and maintaining of project-related correspondence; letter, memo, or e-mail
- Assist PM in maintaining all project logs utilizing MS Teams, Word documents and Excel spreadsheets including request for information, proposal request, cost event, project cost reports, etc.
- Assist PM in the coordination and preparation of monthly project progress reports, i.e., projected cost reports, schedules, and status reports
- Coordinating with team members to monitor progress on projects and tasks, providing assistance when needed
- Coordination and scheduling of meetings
- Attendance at project meetings. Produce and distribute meeting minutes
- Review and totaling of Full Property Inspection Unit Walk summary sheets
- Perform initial project cost coding, per lender requirements, in coordination with CFO in Job Cost format
- Create and update project contact and vendor lists
- Review and editing of SOW Documentation
- Assist PM in the development and updating of project schedules
- Assist PM in the creation, submission, and tracking of contracts and change orders
- Build and manage G702-703 pay applications
- Assist in updating contract documents during construction
- Review and forward pay applications with lien waivers for approval and payment, including reviewing cost codes and vendor compliance
- Assist in review and tracking of change orders
- Tracking and submitting monthly invoices and lien waivers, including reviewing cost codes and vendor compliance
- Oversee credit line tracking
- Assist in tracking of credits and returns
- Contacting Vendors and Contractors (Re: billing, change orders, etc.)
- Assist tracking budgets versus committed costs, paid to date/actual billed amounts
- Assist team expense report review
- Manage Employee calendar and send out notices for PTO and other absences
- Assist in the production of closeout manuals Distribution and tracking of project related technical materials in conjunction with the Project Manager
- Perform other related duties as assigned
QUALIFICATIONS
- Position requires at least 4 years of experience in construction management or equivalent field.
