This position is included in a bargaining unit of Housing Works’ New York City employees represented by a labor union known as the Retail Wholesale and Department Store Union (“RWDSU”). Accordingly, the RWDSU has the exclusive right to bargain over the terms and conditions of employment related to this position and this position may become covered by the terms of a collective bargaining agreement (a “CBA”) between Housing Works and the RWDSU

Compensation Range: $22/hr - $23/hr commensurate with experience

Overview: The Property Management Assistant is responsible for assisting the Property Management Unit by tracking residential building violations for the purpose of having them cured and closed out, liaising with our consultant to address violations, registering Housing Works properties with NYC agencies, inputting and tracking internal work orders and running reports, processing invoices, creating payment requests, processing W9s to request new vendor codes, and performing other assigned administrative tasks.

Responsibilities:

  • Work with Bailey House/Housing Works Supportive and Affordable Housing Management Team and our consultant to address and prevent building violations.
  • Ensure that all residential buildings are properly registered with NYC agencies including, but not limited to DHCR and HPD.
  • Assist with the ordering of furnishings, supplies, equipment, and other goods and services essential to the Supportive and Affordable Housing Department.
  • Develop and maintain an effective database program for accountability of furnishings, supplies and other equipment.
  • Enthusiastically participate in advocacy and direct actions to end the twin crises of homelessness and HIV/AIDS.
  • Ensure that Human Resources Department notices and documents are properly posted at all residential programs and sites.
  • Ensure that all required notices and documents required by the NYC Department of Buildings, Housing Preservation and Development, Division of Housing and Community Renewal, and other city agencies are properly posted in Housing Works’ residences.
  • Organize and maintain all residential building maintenance contracts and notify appropriate staff in advance of routine systems inspections.
  • Complete and submit monthly reporting required by Senior Management.
Minimum Requirements
  • A High School Degree or GED, plus a minimum of five (5) years of office experience. Bachelor’s Degree is a plus.
  • Must be proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Dependable & flexible as well as possessing the ability to maintain a high level of confidentiality.
  • Excellent internal, external customer service skills and strong interpersonal skills.
  • Good communication skills both verbally and written including the ability to communicate with all levels of management.
  • Ability to prioritize and multi-task.
