Job Overview:

Anne Folsom Smith Interior Design, Sarasota’s premier luxury interior design firm is searching for a reliable and hands on Purchasing Coordinator who will be responsible for maintaining accurate and timely purchase order processing. The right candidate for this role enjoys working closely with team members to process special orders and research products for customers. Serve as primary contact for associates with product and order status questions. The ideal candidate for this position will have excellent communication skills, a high level of energy, and high level attention to detail.

Responsibilities and Duties:

  • Review plans, specifications, and quotes to ensure the correct materials are ordered/purchased.
  • Review and complete accurate entry of pricing and product specifications.
  • Prepare and send proposals to clients along with request for client deposits.
  • Creates accurate purchase orders by verifying specifications and pricing on project and regular stock products. Submits all purchase orders created to vendors and follows up to ensure receipt.
  • Reviews pricing discrepancies found between vendor order acknowledgements.
  • Enters order acknowledgements and expected delivery dates from vendors on submitted orders. Handles vendor returns and cancelled orders. Coordinates resolution on issues with suppliers such as over or under orders.
  • Check receiving log daily and mark goods received and communicates backorder status regularly with teams.
  • Work closely with the Design team to ensure timely receipt of all goods.
  • Maintains delivery and install schedules with input from Design teams.
  • Filling and upkeep of client purchasing notebooks.
  • Records and manages designer timesheets for monthly client design fee billing.
  • Assists accounting with monthly client billings.

Qualifications:

  • A High School Diploma or GED required
  • Design Manager Software experience is preferred but is not required
  • Generally, 2-5 years of experience in purchasing
  • Specialized skills training/certification preferred
  • Familiarity with vendor systems and ordering processes

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
