Radiology Front Desk and Scheduler

Our Outpatient Radiology Center is looking for a Radiology Front Desk and Scheduler. The Radiology Patient Advocate will communicate regularly with patients, physicians, and UDI technologists while scheduling and checking in single/multiple radiology exams and procedures.

This is a Full-Time position. The hours of operation are Monday - Friday, 7:30am-8:00pm, and Saturdays, 7:00am-2:00pm. Saturdays are mandatory for this position.

Essential Functions

  • Be proactive with all customers using active listening, showing a caring attitude, and offering alternatives when necessary.

  • Knowledge of computer applications, multi-line telephone system, printers, copy fax machines, which may include required data entry.
  • Maintains basic understanding of the medical needs during the screening process for scheduling an appointment.
  • Must be empathetic and show compassion for all of our patients.
  • Monitor Daily Schedules with a laser focus. Act with urgency to fill, replace, and/or move up patients if changes in schedule (cancellations, reschedules, ahead of schedule, etc.).
  • Greet all visitors with a smile and a “Say YES” attitude.
  • Check-in radiology patients, advocate for patients when asking them to fill out the necessary paperwork, check for errors or possible safety concerns.
  • Process paperwork for all radiology exams and notify technologists when patients are ready for their exams timely.
  • Monitor waiting room to ensure patient flow is timely. Support technologists when running behind by prepping and queuing patients back to dressing rooms / exam rooms when ready.
  • Memorize Radiology Modality Exams offered, safety protocols, and the prep requirements.
  • Schedule radiology exams for the patient in person or over the phone with heightened awareness on safety and provide explanation of appropriate preparation information.
  • Conduct self with professionalism when speaking with Referring Providers and their staff to obtain necessary information for patient exams.
  • Prep charts (QA All Charts) for next day’s schedule and two days out.
  • Provide correct financial forms to patients and explain financial options.
  • Confirm appointments by phone.
  • Assist radiologists and technologists with clerical duties and ensure that WET READ patients are treated with urgency and status of report and follow up instructions are delivered promptly.
  • Audit radiology orders for accuracy, call patients to schedule procedures, as well as notify referring physicians of patient non-compliance or changes needed.
  • Maintain a clean and organized work area. Always keep office presentable. Perform walk-throughs of facility to ensure cleanliness and stocked bathrooms.
  • Consistently meets departmental goals for productivity, quality and customer service standards set by UDI.
  • Identifies customer service issues and resolves or initiates necessary follow-up.
  • Always adheres to the UDI Handbook Policies to make UDI a productive work environment.
  • Maintains regular, punctual attendance consistent with UDI policies, the ADA, FMLA and other federal, state, and local standards.
  • Maintains compliance with all UDI policies and procedures.
  • Dress Code: Business Casual Smart. Candidate must take pride in personal appearance and dress to impress.
  • This job description shall remain fluid. Candidates should have an “it’s my job” attitude.

  • Maintains high level of communication with the practices regarding scheduling matters, as deemed necessary.
  • Attends departmental meetings/in-services and participates in process improvement initiatives after hours and occasional weekends.

Education/Training

  • High school graduate or equivalent.
  • Must complete Phone Interview, Face to Face Interview and Working Interview.
  • Candidates must be available to do Phone Interviews, Face to Face Interviews and Working Interviews.

Experience

  • One (1) year of experience in retail, customer service, or health care.
  • An Associate’s Degree may substitute for 2 years of the required experience.
  • Computer experience required.
