Position Summary:

The receptionist is the first point of contact for visitors and callers. The receptionist represents the highly professional image of the Firm by creating a positive interaction with every attorney, staff member, client, visitor, and caller. The position handles a large volume of calls while greeting guests and performing various administrative tasks. The ability to engage professionally and politely with visitors is essential. The receptionist has primary responsibility for scheduling conference rooms and coordinating meetings and other hospitality services. Remote work/hybrid schedule is not available for this position due to the essential in-office job functions.

Essential Duties:

· Greet visitors entering and leaving the office

· Offer beverages to guests and validate parking tickets

· Answer multi-line phone system and forward calls to appropriate individuals

· Page personnel as needed using intercom system

· Coordinate workspace for visiting attorneys and staff

· Send email announcing visiting attorneys and staff at least one day prior to their scheduled arrival

· Accept deliveries; assist with mail

· Manage conference room space using Resource Schedular

· Coordinate virtual meetings between offices using various technology platforms (e.g., Zoom, WebEx)

· Work closely with personnel in office services and IT to support and coordinate various activities within the office

· Maintain neat and clean appearance of reception area at all times

· Assist with administrative tasks such as electronic filing, copying, scanning, binding, and processing invoices using a/p software

· Other duties as assigned

Position Requirements and Desired Skills:

· High School Diploma or GED required; Associates or Bachelors degree preferred

· 1-2 years’ experience in a professional office environment; Law Firm experience preferred

· Proficient in Microsoft Office

· Excellent oral and written communication skills

· Accuracy, attention to detail and good organizational skills

· Ability to work under pressure in a fast-paced environment

· Strong time-management skills and ability to multi-task

· Strong client service focus and ability to work effectively in a team environment

· Self-motivation and ability to work with minimal supervision

· Various physical activity may be required
