This position works part-time, Wednesday through Sunday, every other week. Option to work additional hours may be possible.

Under general supervision, manage the Grace Hudson Museum’s visitor reception desk, performing all duties required to engage, track, and serve the visiting public. Answer and direct all incoming phone calls and emails, perform clerical work as assigned, and other related work as required.

JOB REQUIREMENTS

  • Answer multi-line telephone and routes calls or takes messages as appropriate.
  • Monitor all emails received through the general information email account, responding directly when possible or referring them to appropriate staff.
  • Receive visitors, provide orientation to the facilities and Museum services, and accept admission fees.
  • Promote and process new and renewing memberships.
  • Account for attendance and donations on the appropriate forms. Help prepare bank deposits.
  • Provide tourist information (i.e. hotels, restaurants, shopping, and other attractions in and around greater Ukiah and Mendocino County).
  • Manage the Museum’s dedicated donor and membership database, creating records and ensuring they are up-to-date, entering information and donations, and producing reports as needed.
  • Provide information and sell tickets for various Sun House Guild fundraising events. Work closely with the Museum Director and Sun House Guild Treasurer to account for and reconcile all receipts related to Guild fundraising events and see that they are entered properly into the donor database.
  • Coordinate docent scheduling, maintain a tour calendar, and provide volunteer support.
  • Provide assistance for tours in Museum and Sun House.
  • Perform constant security inspection of the galleries, gift shop, and public areas; routine de-activation and re-activation of security systems when opening and closing the Grace Hudson Museum and the Sun House.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

Knowledge of:

  • Office and telephone procedures and practices.
  • Microsoft Office (especially Word and Excel); spreadsheet and database management.

Ability to:

  • Deal effectively and pleasantly with the public and with persons needing assistance.
  • Perform clerical work involving the use of independent judgment and requiring speed and accuracy.
  • Speak, read, and write using standard English. Some fluency in Spanish is desired, but not required.
  • Explain Museum programs and activities in a clear, concise fashion.
  • Work flexible hours, including weekends and holidays.

Education and Experience:

A minimum of a high School diploma or equivalent. One year of experience performing reception and clerical duties including working with the public. Work in database management preferred.

Necessary Special Requirement:

Ability to work weekends.

SELECTION PROCEDURE

All employment offers are subject to a City-paid physical examination and a thorough reference and background check.
