Occupational Summary

This position provides support to the subaward management team and assists with external audit functions for sponsored projects within the Office of Post Award Administration.

Sustaining two critical functions for Duke University, this individual will be independently responsible for time-sensitive and complex tasks related to subrecipient invoicing and reporting, and to external audits of Duke’s sponsored project portfolio.


Work Performed


Subaward Support


  • Review terms and conditions of subaward agreements and ensure related data is maintained and updated in SAP.
  • Conduct compliance and cost review of subrecipient invoices and submit electronic check request using subaward management SAP-based tool or escalate problem invoices to manager.
  • Support the Advanced Payment model for select international subawards, including manual cost share entries and reconciliation of financial reports with the subrecipient’s detailed supporting documentation.
  • Respond to incoming inquiries from subrecipients and Duke grant managers regarding subaward issues.
  • Assist with FFATA reporting, including maintenance of required data elements and submission to the Federal reporting portal.
  • Provide support to the subaward team manager as requested.

Audit Support


  • Assist with identifying, obtaining and organizing all required documentation for external compliance reviews and audits.
  • Coordinate with departments, centers and institutes across the University to obtain complete documentation to support requests from leadership and/or auditors.

Other Responsibilities


  • Deliver the customer support standard of excellence through common understanding of research administration goals, proactive listening and proper professional responses.
  • Assist in ensuring compliance with policies set forth by the University and/or external agencies.
  • Stay current with changes involving sponsor and University policies and procedures, and ensure that subaward payments are administered in accordance with relevant policies.
  • Participate in business process reviews related to both subaward management and audit support functions to reduce administrative burden and increase use of technology/automation.
  • Perform other assignments as requested by office leadership.

Required Qualifications at this Level


EDUCATION/TRAINING:


  • Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program. Research or grants education and/or certification is preferred.
  • Training: Successful completion of required department training such as GC101 & 201 Introduction to Research, Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (on-line), Basic Compliance (on-line) within first six months of hire is required.
  • Successful completion of the Research Administration Academy (RAA) certification is expected. Employees hired into this classification without the expected credentials will work closely with their manager to schedule and complete all training within a reasonable period of time (generally 12 months). Successful completion of all expected training will be an annual performance goal until complete.
  • Upon successful completion of expected training, the employee must maintain Research Administration Academy (RAA) certification by completing continuing education requirements.

EXPERIENCE:


  • No experience required for candidates who possess a Bachelor's or Master's degree in a field of study directly related to the specific position or an equivalent combination of relevant education and/or experience.

  • Knowledge
    • Understanding and application of Federal and sponsor specific regulations/laws and guidance relating to extramural funding (e.g., Uniform Guidance – 2 CFR 200; Department of Health and Human Services; National Science Foundation; Department of Defense; additional Federal and non-Federal sponsors)
    • Ability to interpret and apply post award guidance from Duke University policies and procedures
    • Understanding and application of basic internal control concepts, including adequacy and completeness in documentation during the daily management of sponsored subawards

    • Ability to communicate effectively both verbally and in writing with all levels of the organization
    • Understand when to escalate issues to leadership, when necessary
    • Ability to recognize and reach out to partnering offices within the larger Duke organization to solve problems and collaborate on research administration matters

    • Working knowledge of organizational financial systems (SAP, SPS or other similar systems)
