Organizes and coordinates administration duties and office procedures. Creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Serves as a liaison between Mary Lee Southpointe and all other Mary Lee Foundation offices. Adheres to all policies, procedures, and standards of protocol of the Mary Lee Foundation and applicable outside agencies. Participates in orientation, in-services, and on-the-job training.

Responsibilities:

  • Works closely with Onshift Administrator to communicate schedule changes with accuracy to staff.
  • Schedules Direct Care Staff to provide coverage at all programs of Southpointe, ensuring that all shifts are filled, and informs on-call supervisor of any open shifts needing to be filled in a timely manner.
  • Ensures that staff are not scheduled for more than one shift at a time or too many hours in a row.
  • Assist with completion of editing time cards and ensuring entered times are correct against Onshift.
  • Maintains calendar of medical appointments for consumers. Distributes medical consults and assigns vehicles and staff to run appointments and errands.
  • Coordinates vehicles to ensure that adequate transportation is available for all appointments and errands and ensures that staff leave on time.
  • Process transportation logs monthly and turns the corrected logs and report in to Mary Lee's Central office in a timely manner.
  • Performs regular office duties to support everyday activities such as answering phones, greeting guests, filing, sorting, distributing, typing, labeling, copying, faxing, running errands and medical appointments as assigned. Keeps office area tidy.
  • Acts in a professional manner at all times and effectively assists everyone who calls and enters the office.
  • Ensures good communication and fosters a cooperative and harmonious work environment with all direct scare staff and co-workers.
  • Follows schedule as requested by Administrator, and performs any other duties as assigned by the Administrator.

Knowledge and skills:

  • Knowledge of filing systems
  • Very good knowledge of MS Office and office equipment such as photocopier, scanner etc.
  • Good command of English language both oral and written
  • Dependable and able to operate with discretion
  • Excellent organizational skills
  • Great attention to detail
  • Comfortable multi-tasking in various software program

Qualifications:

  • High School Diploma or equivalent
  • Must have no bars to employment pursuant to Health & Safety Code §250.006
  • Must have no bars to employment pursuant to Texas Administrative Code, Title 40, Part 1, Chapter 3, §3.201 Texas Health and Safety Code
  • Name must not appear on either the Texas or Federal Office of Inspector General's Exclusions List
  • Must be physically able to perform the duties of the position, including, but not limited to; lifting/carrying at least 50 lbs. (depending on assignment requirements), climbing stairs, bending, stooping, and driving.
