Description of Work
Contracts & Project Administration:
BMA is a growing company with 20-30 ongoing projects in various stages at a given time. The Contracts Administrator is the primary administrative function in the company. Responsibilities include general company administration and project administration for all contracts from project initiation, ongoing tracking and compliance and through project close out.
- Pre-qualification with new customers; set up new vendor accounts
- Pipeline management
- New job folder creation in Drive - tracking receipt of LOI and contract documents
- CCIP/OCIP enrollment, insurance programs, certified payroll and all other job compliance
- Track T&M tickets; prepare change order requests; track CO approvals
- Send daily reports to general contractors via email or GC software
- Prepare and submit monthly pay applications; track receipt, approval and payment progress with customers
- Prepare/review subcontractor pay applications; reconcile subcontractor payments throughout job
- Enter all vendor invoices in QBO
- Track job entry in Fieldwire (field software) and maintain latest plan versions
- Track job costs and reconcile job profitability in monthly report to owner
- HR/Benefits functions: employee onboarding, drug screening, badging, 401k enrollment
- Maintain certificates of insurance with customers and subcontractors
- Manage insurance audit and policy renewals
- Prepare monthly credit card reconciliations
Required Qualifications and Skills
- Fluent English, Spanish a plus
- Technological proficiency: Microsoft Excel, Adobe, Google suite and Drive, QBO and comfort learning new systems (Fieldwire, customer software, etc)
- Excellent written and oral communication skills
- Responsive, motivated and organized; able to reliably perform duties with little oversight
- Comfortable working from home
- 5+ years Commercial construction experience (preferably Div 8 or 10)
- Project administration or contract administration experience for a general contractor or commercial subcontractor
- Drug and criminal background check
